Job Description: Executive Coordinator to the Executive Director

Reports to: Executive Director

Salary Range:$35,000 -$40,000

Term: Permanent

Closing date: February 01, 2018

Location: Ottawa

The Executive Coordinator will provide services to the Native Women’s Association of Canada as it relates to the Executive Director to help ensure the office run efficiently.

Duties and responsibilities

  • Provide direct high level administrative support to the Executive Director;
  • Assist in drafting, editing and formatting Executive Director reports;
  • Take Minutes at high level meetings;
  • Help to coordinate agenda’s, meetings (including teleconferences) and activities for the Executive Director;
  • Help to implement email filing system;
  • Maintain detailed appointment calendar of the Executive Director;
  • Prepare high level correspondence such as letters, memos and agendas;
  • Assist in developing social media presence for the Executive Director;
  • Make travel arrangements for the Executive Director as required;
  • Coordinatethe logistical aspects of meetings, roundtables, committee meetings and occasional special events with the NWAC Events Coordinator;
  • Assess the priority of incoming and outgoing material to ensure the Executive Director receives accurate and relevant information in a timely and often urgent basis.
  • Receive and screen some inbound e-mails, calls and visitors for the Executive Director, when required;
  • Help to organize meals, snacks, coffee etc. for meetings, when required;
  • Work collaboratively with the Executive Assistant;
  • Other duties as assigned.

Qualifications

  • Post-secondary degree in social sciences, business, communications, administrative or other relevant field;
  • Excellent writing skills;
  • Excellent communications skills;
  • Ability to work in fast-paced environment;
  • Full comprehension, knowledge and experience with Microsoft Office;
  • Exceptional organizational skills;
  • High attention to detail;
  • Excellent aptitude for interpersonal relations combined with an ability to interact with all levels of the organization and high level governmental and other officials in a professional and effective manner;
  • Excellent time management skills and clear respect for deadlines;
  • Ability to take initiative and work independently;
  • Punctual, reliable;
  • Flexibility to work overtime, when required;
  • Some weekends may be required;
  • Some travel may be required;
  • Strong judgement and decision making abilities.
