Job Description:JASSAdministration Officer

Working Hours: 9 Hours per week

Salary: Based on full time equivalent £18,500per annum

Fixed contract: One Year

Week commencing 2nd February 2015

The post will be review one month prior to end of contract and may be extended subject to funding available.

Report to: JASS Consultant

Responsible to:FOTA Board

Main Responsibilities:

To be the main point of contact for enquiries, to process orders efficiently and accurately,to maintain administration systems and provide customer service and support (including for new on-line product) ensuring thesmooth running of the JASS sales operation.

Key Tasks:

  • Support JASS telephone and on-line enquires.
  • Provide e-JASS customer support
  • Maintain JASS administration systems: sales order and invoice, packing and distribution of orders, stock order and control, record keeping, customer record management and accounting.
  • Support generation of revenue from sales of JASS Packs and e-JASS to maintain project operation.
  • Provide customer service and support for JASS products and services. (JASS Packs, e-JASS and training consultation)
  • Collate information and produce reports as required.
  • Provide support to JASS Development Officer and JASS Consultant as required.
  • Attend JASS team meetings as required.
  • Completeproject, customer and participant monitoring and evaluation as required.
  • Update JASS website and produce promotional materials.
  • To link and take account of the wider operation of FOTA and its projects and services.
  • To undertake activities at the request of FOTA Board of Directors to support FOTA objectives.

  • Relevant professional qualification in administration, management, business or marketing.

  • Use of IT, Web and Office Applications:

  • Sage Accounting, Sage Customer Records Management System
  • Project evaluation methods and approaches

  • Customer service and support
  • Working in the field of Education and or Youth Work within Voluntary and or Statutory Sectors.
  • Sales, invoicing and orders processing
  • Organisation and administration of conferences, seminars or training events.

  • Creation and maintenance of administration systems.
