POSITION SUMMARY

Provides administrative and office support by partnering with the Tabor 100 Board and Committee Chairs to raise our members profile within the business community.

POSITION OBJECTIVE

To efficiently manage office procedures and assist the Tabor 100 President and Tabor 100 Committee Chairs implement goals, mission, vision, and strategic plan objectives.

Qualifications

·  Three or more years of administrative clerical support experience required.

·  Proficient with Microsoft Office, Outlook, and accounting software (QuickBooks) necessary.

·  Must be detail-oriented, able to work on a variety of tasks simultaneously, and able to move ahead on projects independently.

·  Strong organizational skills and ability to maintain confidential information essential.

·  Capable of interfacing with a wide variety of community organizations.

·  Ability to handle funds in a professional and honest manner with the highest level of integrity and transparency.

CORE RESPONSIBILITIES

Board of Directors and Committees:

·  Coordinate and attend the Tabor 100’s General Meeting which is the last Saturday of every month

·  Coordinate and attend monthly Board Meeting the second Monday evening of the month

·  Coordinate, purchase, deliver, and setup food and beverages for Board Meetings, General Membership Meetings and Special Events throughout the year.

·  Administrate Board Meeting minutes and General Meeting minutes as well as Committee meeting minutes as requested

·  Assist with allocation of materials, meeting agendas, web postings, email notifications and phone calls as directed by Tabor 100 Board Secretary and President.

Banking and Financials:

·  Perform daily bookkeeping.

·  Handle accounts receivable (membership payments, vendor payments) and accounts payable.

·  Deposit incoming funds into respective bank accounts.

·  Bank reconciliation.

·  Preparation of monthly financial statements for Board meetings with Tabor 100 Treasurer.

·  Assist with preparation of annual budget.

·  Work directly with accountant, Tabor 100 Treasurer for yearly audit.

Resource Management:

·  Handle database management (Wild Apricot).

·  Assist in marketing materials design and coordination of printing services as directed by Membership Chair.

·  Assist with implementation of special events as requested by its respective Tabor 100 Committee Chair.

General Office Management:

·  Serve as a professional representative of Tabor 100 through phone and office contact.

·  Receive and screen incoming calls.

·  Maintain awareness of regulations: WMBE and BDE requirements and make appropriate referrals upon request.

·  Maintain and update membership information on “Wild Apricot” as directed by Membership Chair.

·  Maintain inventory, equipment, and ordering of supplies.

Communications:

·  Web site management; updating information as needed.

·  Assist in development and editing of information for monthly newsletter as directed by the Public Affairs Chair.

·  Fill in, as needed, with Tabor 100’s public relations effort: Exhibitions and Forums.

Yearly Gala Event:

·  Works directly with the Gala Committee Chair and the Tabor 100 board or its designate to plan and execute Tabor’s annual fundraising gala. Assists with execution of planning meetings, event management, and/or consultation as appropriate. Helps manage all event details including: site selection, contract negotiations, written communications, content development, food and beverage, audio visual, cost analysis and travel as needed.
