IRBNet – Animal Research Submission Instructions

Before beginning the submission process, all researchers and sponsors must:

Register as a User on IRBNet

All co-investigators and project sponsors must also be registered (instructions below).

Complete the CITI Training Course for your academic discipline and for the Responsible Conduct of Research (RCR).

Save your completion certificate to your computer.

All co-investigators and project sponsors must also complete the courses.

Register with IRBNet

Go to find the “New User Registration” link in the upper right-hand corner of the screen. Follow the directions for New User Registration.

  • For your affiliation, select “Marywood University”.
  • To complete the registration process, you will need to authenticate your registration via your e-mail account.
  • We recommend that you use your Marywood e-mail account, or if not, Yahoo or Gmail, as some systems have very aggressive spam-blocking protocols.If you do not receive an activation e-mail, check your spam filter/junk box. You may need to add the address to yourContacts. If you still do not receive an activation e-mail, log into IRBNet and in the upper right corner of the screen, click on “User Profile.” At the bottom of the next screen, where you see “Affiliations,” click “Edit.” Change your e-mail address if it is incorrect. Enter a new or different fax number, and hit “Save.” This will trigger a new activation e-mail that will be sent to your account. If you still have difficulty, send a request to .
  • If you forget your password, go to IRB Net and click on the “Forgot Your Password” link in the upper right corner and follow the instructions. Should you wish to change your username or password, log into IRBNet and click on “User Profile” in the upper right corner of the screen.
  • All Marywood University students and individuals outside of Marywood need to identify a campus research sponsor/advisor. This person will need to register with IRBNet so that you may share your submission and they may provide an electronic signature.
  • All co-investigators will need to register in IRBNet so that you may share your submission and they may provide an electronic signature.

To Submit a new research project for review:

Log on, and click on “Create New Project” (left hand side menu)

Project Information Page

- Fill in information needed

- Internal Reference Number – leave blank, a number will be assigned by the IACUC Coordinator

- Select “Continue”

Designer Page

Select A Library – IMPORTANT: Be sure to click on the drop-down menu and select “Marywood University Institutional Animal Care and Use Committee”.

Select a Document - Download all required forms for the project and save them to your

computer. Save to your desktop where it is easy to find and edit.

You may log off of IRBNet and login again when all project documents are complete and ready to be uploaded and shared. Your project will appear on the “My Projects” page. Click the title of your study to view your package and click on “Designer” to resume the submission process.

Prepare All Project Documents

Using the downloaded documents saved to your computer:

- Complete the Cover Sheet and Application including Project Narrative.
- Create electronic files of your data collection forms
- Verify that all co-investigators and sponsors are registered on IRBNet.

Upload all Project Documents

On the “Designer Page” (left hand side menu):

Assemble your document package

- Click on “Add New Document “

- Select Document Type - select the descriptor that best describes what you are

uploading. If something is not listed or you are unsure, select “Other” and provide the description you want in the field called “description”

- Browse for the file

- Click the “Attach” button

- Continue until all forms are attached to your package as needed.

Shareyour project:

This option allows you to share your project with other researchers, committee members, administrators or sponsors at your own institution or any other institution. Verify with your advisor/sponsor that he/she has registered with IRBNet.

Click on “Share this Project” (on left-hand side menu)

- Click the word “Share”

- Search for your Organization - Search and select “Marywood University”.

- Click the “Select Organization” button

Type the name of your Sponsor or other individual(s) with which you wish to share your project. Names will appear if he/she is registered with IRB Net. In the column titled “Permission Access”:

- Designate the level of access for each individual listed.

Full - You might give full access to a co-investigator or Sponsor without restrictions.

Write – You might give this access to co-investigators to edit documents only.

Read – You might give Read access to a sponsor, colleague or faculty member

to read but not edit the package.

No Access – Choose for anyone not affiliated with your project.

- Your Comments - You may add comments at the bottom of your screen which will be shared with all individuals given Full, Write, or Read Access to your project.

- Click “Save” Button

Your “Share Project” page will now show the names of the individuals you have given access to your project. You may edit this list at any time by clicking on the individuals’ names.

Sign your Package:

If you are the Principal Investigator, your electronic signature that is associated with a given study means that the research described in the application and supporting materials will be conducted in full compliance with Marywood University’s policies, as well as federal, state and local regulations governing research with animals. Furthermore, you will:

  • Conduct all aspects of the project as approved by Marywood University’sIACUC
  • Promptly report any revisions or additions to the research activity for review and approval by the IACUC or to commencement of the revised protocols, with the only exception to this policy being those situations where changes in protocol are required to eliminate apparent, immediate hazards to the animal subject,
  • Promptly report any unanticipated problems or serious adverse events,
  • Assume full responsibility for selecting subjects in strict accordance with the criteria outlined in the application materials, and
  • Ensure that all personnel involved with animal subjects or data during the course of this research activity are trained in the Protection of Animals and Responsible Conduct of Research, in full accordance with MU policies on this matter.

If you are a co-investigator, your electronic signature that is associated with a given study means that:

  • You are fully cognizant of the details of the protocol and will conduct all aspects of the study as approved by IACUC,
  • You will promptly report to the Principal Investigator any unanticipated problems or serious adverse events,
  • You will not be involved in any aspect of the study for which you have not been trained, or conduct any procedure in which you are not certified or licensed.

Click on “Sign this Package” button (on left hand side menu)

- Click on drop down menu and select “Principal Investigator” or other appropriate title

- Click “Sign” button

The “Sign Package” page will now show the names of all individuals who have signed the package. Be sure that co-investigators and sponsors sign the package before submitting it. Otherwise, you will be required to resubmit your package and wait longer for review.

Submit yourPackage:

Select a Board

- IMPORTANT – Be sure to select the Marywood University Institutional Animal Care and Use

Committee.

- Click “Continue” button

Select a Submission Type

- Click on Drop Down menu and choose type (ex: “New Project”)

Example #1: The first time you submit a “New Study,” you will choose the submission type “New Study.”

Example #2: If the IACUC issues a Modifications Required letter, or a Deferred Status letter, and you now wish to submit the requested modifications, go into study designer, click on“Add New Document” and when it prompts you that the study isLocked, choose “Create New Package.” The submission type should be “Amendment/Modification.”

Example #3: If you need to submit a 6-month status report, go into the study history and choose “Create New Package.” For document type, select “Other”. Type in “Status Report” and the number of the report (1, 2, etc.).

- Your Comments - You may add comments which will be seen by the IACUCmembers

upon submission.

** IMPORTANT: Clicking the “Submit” button will submit your package for review by the Marywood University IACUC. You may click on “Project Overview” to view your package or to upload edited documents at any time prior to submission. Once a project is submitted, it can not be retracted or deleted from IRBNet.

Click “Submit” button

-Review the submission summary page.

Project History (on left hand side menu)

You may view your project history and check on its review status at any time following submission.

User Profile (upper right hand corner)

You may edit your Account Information, Password and Affiliations at any time.

- Click on “(Edit)” to edit your account information and password.

- Click on “Add an Additional Affiliation” to choose other institutions.

- Click on “Edit” or “Deactivate” to change your profile.
