Whitehall Rotary International Dinner

VENUE & ARRANGEMENTS

The dinner will be held at the Whitehall Community Center onMarch 12, 2017. Doors will be open to serve customers from 4:00 to 6:30pm. Food serving is to end at 6:30 pm, but music and entertainment will continue to 7:00 pm.You may set up your booth starting at 3:00 pm.

Whitehall Rotary will provide booth space for each foodvendor. You will have two 8‐foot tables (one front and one rear) that will be pre‐located and assigned by Rotary. These will be arranged around the perimeter of the community center. Customers will dine at tables in the central area. Rotary will prepare numbered table placards indicating yoursponsoring non-profit organization, the food region/country, and food description which you agree to prepare. You are encouraged, but not required, to bring added decorations and costumes to create a more festive atmosphere at your assigned booth.

PORTION SIZES, PREPARATION, AND BEVERAGES

Please: Rotary requests that you strictly adhere to serving smallportions of about 4 ounces per serving (the size of a cupcake paper), as this is to encourage customers to sample many of the different foods to be presented. Kitchen facilities are not available at the Community Center (a limited number of electric outlets are available at the community center). Food items must be prepared in advance, and kept properly hot or cold by use of insulated containers or other means. You will need to provide your own serving utensils and bulk containers for holding the food prior to serving. Rotary will provide disposable, 4-ounce sized serving cups for your food servings.

During previous International Dinners, food vendors have dispensed quantities which ranged from 60 to over 200 servings, depending on the popularity of the food item prepared. Rotary suggests that you prepare on the order of 200 servings, but the risk is entirely up to you and your organization.

Rotary will vend coffee, tea, bottled water, soft drinks for a token. Rotary will also provide disposable napkins, utensils, and plates for customers when they purchase tokens.

CHARGES, PRICING AND PAYMENTS

Customers will pay at the door for food tokens ($15 for 10 tokens), each of which can be redeemed for one food serving from a booth of their choice. Non-Rotary food-vendors will receive $1.10 for each token turned in at their booth during the evening, Rotarians will collect tokens during the event and tally the token count for your booth. Payment to non-profit groups will be by check, mailed after the event is concluded and tokens are tallied.
