This manual for the exhibition and conference participants has been specially developed to facilitate the process of exhibition registration and dealing with the corresponding administrative difficulties. The information is suitably presented either for the companies, already working in Russia, or those just planning to enter the Russian market.

The manual contains general exhibition information and application forms for various exhibition services. A detailed study of this document will give you the answer to the most questions regarding the exhibition organization and conducting. Please, keep the copies of all filled-in forms: it will enable us to deal with you problem faster and check the correlation between our invoice and your order.

Note:

In case of mounting/dismantling period prolongation under the participant’s request the additional payment shall constitute 3€/hour per 1 sq. m. of rented exhibition space but not less than 150€. per 1 hour (excluding VAT).

2. Participant registration

Any company or organization, interested in participating in the exhibition should send to the Organizers a filled and signed «Application form for participation in the exhibition», order for any additional services, and information for the official catalogue and then make a contract on participation in the exhibition(the application forms are enclosed).

In case of raw exhibition space booking the exhibitor is obliged to coordinate the booth engineering factors. The booth planning (design draft) with the connections diagram and the indications of the requested power level should be provided to the Organizers. The following document must also be presented:

  • The copies of fire safety certificates for all materials, used during the booths’ mounting.
  • The protocol of the insulation-resistance test of any electrical equipment, wires, cables, used by the company, having the respective licenses.
  • Passport for any electrical equipment and hardware.

On the bases of the received applications the Organized sends the participant the invoice to be fully paid not later July14, 2010.

3. Participation fee

ALL PRICES ARE SPECIFIED EXCLUDING VAT

Registration fee (compulsory payment for any participant)- 150€

- participation in the conference – 125€.

Registration fee includes:

  • exhibition advertising campaign
  • publication of the official catalogue (publication of names, logos and contact details)
  • organization of conferences, seminars, contests, round-table discussions, congresses, and other events held within the exhibition
  • organization of press-conference, exhibition presentation, presentations of companies
  • information expenses (badges, invitations, posters)
  • on-line registration of participants
  • decoration of the exhibition
  • organization of the exhibition opening and closing ceremonies
  • general security of the pavilion
  • general cleaning of the pavilion
  • fire safety service

After the payment has been made in full measure the Exhibitor is provided with:

  • 2 invitationsto the exhibition;
  • 2 invitations to the reception, dedicated to the exhibition opening
  • 1 invitation to the evening events
  • participation in the exhibition events (except events requiring the personal invitation), including those dedicated to the exhibition opening and closing ceremonies;
  • participant’s badges (2 badges per 6 and 9 sq. m., 4 badges per 12 and 15 sq. m., 6 badges per 20 sq. m. of exhibition space);
  • 1 copy of the exhibition catalogue
  • publication of the information materials in the official catalogue both in Russian and English (not more than 500 signs for each language)

Indoor equipped exhibition space

Indoor equipped exhibition space (1 sq. m.)– 140€.

The cost of equipped exhibition space includes:

  • mounting/dismantling of the exhibition booth,
  • wall sections,
  • carpeting,
  • table, 2 chairs,
  • fascia,
  • inscription on the fascia (up to 10 signs),
  • wall hanger,
  • paper tray
  • lighting spot (60 W)
  • power supply, electrical socket, power consumption

Indoor unequipped exhibition space

Indoor unequipped exhibition space (1 sq. m.) (not less than 10 m²)-95€.

Unequipped outdoor exhibition space for air transport:

Less than 1 ton - 75€

1 – 3 tons - 105€

3 – 10 tons -130€

10 – 25 tons - 350€

25 – 40 tons - 425€

More than 40 tons -550€

The participant with accreditation receives:

  • 2 invitationsto the exhibition
  • participant’s badge
  • 1 invitation to the concert, dedicated to the exhibition opening
  • 1 invitation to the evening events
  • 1 copy of the exhibition catalogue

Additional accreditation(without the reception) - 50€

The participant with accreditation receives:

  • 2 invitationsto the exhibition
  • participant’s badge
  • 1 invitation to the evening events
  • 1 copy of the exhibition catalogue

Cost of supplementary badge for personnel –4€

The exhibitors shall participate in the exhibition according to the rented exhibition space, otherwise the Organizer reserves the right to issue the additional invoices for willfully occupied exhibition space.

4.Official catalogue

The information materials to the official catalogue are accepted no later thanJuly 03, 2010.

Information for publication in the official catalogue shall be presented as electronic document both in English and Russian. The size of the text shall not exceed 500 signs (for each language), includingpunctuation marks.

The information file shall also be filled in according to the Form 11 after registration of the application for participation

Notes:

  • Information, exceeding 500 printed characters, is considered as an advertisement and is paid according to the exhibition advertisement rates.
  • Advertisement positioning in the exhibition catalogue and guidebook is paid extra.
  • In case of absence of the registration fee payment, all information is excluded from the official catalogue

All logos shall be sent only in graphic file:

*.tiff or *.jpg formats with the resolution of not less than 300 dpi;

*.cdr or *.ai formats with the scripts turned to curves.

5. Distant participation

Distant participation – 150€(Form 13)

Includes:

  • publication of the information materials in the official catalogue,
  • distribution of the company’s information material at the information stands of JSC Lenexpo (directly at the exhibition)

6. Work of advertisers

The work of advertisers (promoters) outside the exhibition booth shall be permitted only after the payment of their accreditation (Form 14).

The work of advertisers (promoters) outside the exhibition booth shall not cause any inconvenience to other participants and visitors.

Note:

The Organizers reserve the right to remove from the exhibition area the promoters having not received the accreditation.

7. Participation fee

The complete payment for participation in the exhibition shall be made no later than July 14, 2010. The paymentshall be confirmed by the copy of the payment commission with the bank remark about the payment in full measure for all required services, including VAT (18%).

The participant’s booth location is considered reserved only after the payment of the advance payment at the rate of 100% of total exhibition area rental cost and 100% of registration fee (shall be paid in 10 business days after receipt of the invoice).

The final payment for the exhibition participation shall be made no later than July 14, 2010.

In case of violating of the stated dates the Organizers reserve the right to change the location of the booth within the pavilion or move the booth into another pavilion, having informed the participants about the situation, or even refuse the participant to provide the requested services.

ATTENTION!

Without the prepayment having been made at the rate of 100% the participant is not allowed to enter the exhibition and the exhibition booth construction shall not be made.

8. Participation withdrawal

In case of the exhibition withdrawal after July 14, 2010the exhibitor suffers the penal sanctions at the rate of 100% of the wholeparticipation cost.

In case of exhibition space reduction by the exhibitor the Organizer reserves the right to change the location of the booth within the pavilion or move the booth into another pavilion, having informed the participants about the situation.

9. Exhibitionregulations

  • Exhibition booth and participant’s conduct shall not cause any inconvenience to other participants.
  • Participant may start the dismantling works only after the exhibition closing onAugust 15, 2010 (at 16.00).
  • Booth cleaning, as well as cleaning of the occupied area is executed by the Participant, or by special services, according the participant’s order and at his own expenses.
  • During the exhibition every Participant should send his representative to the Pavilion opening at 09.00 and its closing at 18.00

10. Cargo handling

All transport-forwarding services and concomitant customs formalities and works done on LENEXPO territory should be performed by LTD “PAN BALT Service” which possesses an exclusive right to execute the above mentioned operations and services.

Any participant or his forwarding agent should negotiate an individual contract with the «PAN-BALT Service» company (Page 4) for executing of works mentioned above not later than 2 months before the exhibition beginning

11. Security and Safety

During the whole period of the exhibition work the Organizers provide the procedure of general security of the exhibition, twenty-four-hour maintenance of public order at the exhibition area, excluding the particular security of the exhibits and other tangible property, owned by the participant.

The organizer is not responsible for safety of the exhibits and other tangible property, owned by the participant.

If necessary, the participant may order the particular security service of his booth during the daytime or night, as well as the security service of the booths at the outdoor exhibition area:

12. Copyright and related rights compliance

The Participant (Exhibitor) refuses the intention of public performance of any creative products during the exhibition.

In case of public performance of any creations (writings, phonograms, performances, game performances, declamations, singing, dancing, presentation of the audio-visual creations) during the exhibition, the participant must independently negotiate the contracts and make all the payments, connected with the usage of the subject matters of copyright or related rights by himself, his colleagues or partners during the period of the present contract activity.

In case of any kinds of reclamations towards the Organizer, connected with the usage of the subject matters of copyright or related rights by the Exhibitor or the third persons, invited by the exhibitor onto the territory of JSC “Lenexpo”, the participant is obliged without resort to courts to compensate the material losses, suffered by the Organizer and caused by the following reclamations, including the sums stated in the plaintiff’s claims.

If the participant violates the above-listed “Terms of participation” he will not be admitted to the exhibition.
