Job Title / Executive Administrator
Status / Permanent-Full-time
Starting Salary / Salary based on qualifications and experience
Reporting relationship / Reports to the Executive Director and the Chair of the Foundation for the YM-YWHA
Summary / This position is responsible for providing full administrative support to the Executive Office as well as the FRD department for all events and fundraisers. In collaboration with other departments, this position will coordinate and oversee all elements involved in the planning of the Annual General Meeting. Additionally, the Executive Administrator is responsible for monitoring, managing and purchasing all office supplies.
Responsibilities will include but will not be limited to the following:
·  Participating in and providing administrative support for all fundraising events
·  Setting up meetings, creating agendas, taking minutes, correspondence, room booking and ordering food (as needed) for several committees including but not limited to: Board of Directors, Board of Trustees, Executive Committee and Executive Management team meetings
·  Working with Lay Foundation Chairman and collecting donations for the Y’s Foundation
·  Liaising with senior Lay leadership, both at the Executive and Board levels, and diverse Lay committees
·  Interacting/communication with volunteers, donors and suppliers for various events/reasons.
·  Management of Governor files
·  Distributing incoming mail
Knowledge, Skills and Education / Required:
·  College Diploma and/or equivalent years of experience
·  Minimum 3 years of experience providing support at the senior executive level
·  Excellent knowledge of administrative functions and procedures
·  Advanced knowledge in Microsoft Office applications
·  Bilingual (French & English) is required
·  Excellent organizational & problem-solving skills
·  Ability to prioritize responsibilities and workflow
·  Excellent interpersonal skills
·  Excellent verbal and written communication skills
·  High standard of customer service orientation
Preferred:
·  Knowledge of or previous work experience in a not-for-profit organization is an asset
