Instructions for reporters attending

Welcome to all reporters attending the Boao Forum for Asia 2012. Below are some important notes about registration, transportation and attending the forum. Please read carefully and save for future reference.

  1. Transport from the airport to the hotels (very important)

This year, Haikou Meilan International Airport will only deal with transportation, it will not deal with registration and collection of badges. From 31st March onwards, there will be a transport service desk in the airport arrivals hall, where reporters can travel to the two locations below to complete their registration. Please select your destination based on the type of badge you have and the location of your hotel.

GSE Fortune Hotel media registration center:

  • All media personnel with “Press A”, Press B” and “Live Broadcast” badges can collect their badges here
  • This area is outside of the police cordon for the Forum, so you may enter without a badge
  • The GSE Fortune Hotel is the official media hotel this year. The hotel is 80 minutes from Haikou Meilan International Airport, 35 minutes by car from the site of the Forum and 10 minutes from the other official media hotel, the Four Seasons
  • After arriving at the hotel and completing your registration, you may take the shuttle bus or a taxi to the other hotels in Qionghai

Peilan Bridge registration center:

  • All personnel with “Speaker”, “Delegate A”, “Delegate B”, “Attaché”, “Staff A”, “Staff B” and “Staff C (driver)” badges can collect their badges here
  • This area is separated from the site of the Forum by a cross-harbor bridge, so it is outside of the police cordon and you may enter without a badge
  • This center is the main location for the production, correction and issuance of badges, apart from the three types of reporter badges above
  • There will be buses from this location to all of the hotels

Non-media personnel staying in the media hotels in Qionghai may choose to check into their hotel first. After checking in, personnel take a shuttle from the hotel to the Forum venue, stopping first at Peilan Bridge to collect their official badges before continuing on to the center.

Reporters arriving into Sanya will need to arrange their own transport.

  1. Collection of badges and other materials

All media personnel with “Press A”, “Press B” and “Live Broadcast” badges should collect their badges at the GSE Fortune Hotel media registration center.

Reporters who are registered for meal coupons and informational materials should collect their meal coupons according to their information voucher.

All personnel with “Speaker”, “Delegate A”, “Delegate B”, “Attaché”, “Worker A”, “Worker B” and “Worker C (driver)” badges can collect their badgesand materials at the Peilan Bridge registration center.

The GSE Fortune Hotel is 35 minutes by bus from the Peilan Bridge registration center.

  1. Reporting materials

During the Forum, the BFA Secretariat will send out official teams to gather and edit materials and release the highlights of each event on website. Please visit the official BFA website at

  1. Explanation of the different types of media badges

Media badges are split into the following types, which can be collected at the GSE Fortune Hotel:

  • Press A: Permitted to enter the official opening ceremony and all the open events listed on the agenda. May not dine at the banquets listed on the agenda.
  • Press B: Not permitted to enter the official opening ceremony (may watch a live broadcast in the Oriental Theatre). Permitted to enter all the open events listed on the agenda. May not dine at the banquets listed on the agenda.
  • Live Broadcast: Permitted to enter the official opening ceremony but may not sit in the media seats. This badge is issued to reporters for live broadcast channels, cameramen, photographers, etc.

Other badge types:

  • Speaker: Issued at the Peilan Bridge registration center. Permitted to enter the official opening ceremony and all the open events and banquets listed on the agenda.
  • Delegate A: Issued at the Peilan Bridge registration center. Permitted to enter the official opening ceremony and all the open events and banquets listed on the agenda.
  • Delegate B: Issued at the Peilan Bridge registration center. Not permitted to enter the official opening ceremony but permitted to attend all the open events and banquets listed on the agenda.
  • Attaché: Issued at the Peilan Bridge registration center. Not permitted to enter the International Meeting Center, but permitted to enter the Boao Forum Hotel and the meals held at the hotel.
  • Staff A: Issued at the Peilan Bridge registration center. Mainly issued to opening ceremony management personnel. Permitted to enter the official opening ceremony and all the open events listed on the agenda. May not dine at the banquets listed on the agenda.
  • StaffB: Issued at the Peilan Bridge registration center. Not permitted to enter the official opening ceremony but permitted to attend all the open events listed on the agenda. May not dine at the banquets listed on the agenda. Responsible for own dining arrangements.
  • StaffC: Issued to drivers. Permitted to park near the Boao Forum Hotel, may not enter the Forum areas.
  1. Equipment declaration and foreign media immigration arrangements

Foreign media (including media from Hong Kong, Macau and Taiwan) who wish to bring equipment into China must fill out a declaration, including advanced digital cameras, television cameras, video cameras, camera lenses and sound recording or reproduction equipment.

If you wish to bring equipment into China, please fill in an equipment declaration form and submit it to Mr. HE Zheliang +0898-65352772, 13637581718 (Taiwan Medias), Ms. HUANG Xin: 13907513998 (Medias from )

  1. Interview requests

If you require the secretariat to assist you with interviews, please visit the BFA website and download an interview request form, then fill in your requirements and send it to the contact person listed on the form.

If you wish to interview a government delegate, it is suggested that you submit an interview request to the secretariat.

It may be difficult to contact interviewees once you have arrived at the Forum venue; reporters can inquire at the MediaCenter at Leisure Complex on the ground floor of the Boao Forum hotel.

  1. Meals for reporters

From dinner on 31st March onwards, work meals for reporters will be provided in the Boao Forum Hotel. Reporters with meal coupons can use them for their meals. Reporters without meal coupons must pay for their own meals. The locations are as follows:

  • Media center on the ground floor of the Leisure Complex: simple bagged meals
  • Le Gourmet and Cun Xin Tang(存心堂) located outside of the hallway connecting the hotel and main forum venue: simple working meals

Food service times are 11am-3pm and 5pm-9pm.

Working meals will also be provided at the media hotels (GSE Fortune Hotel and Four Seasons Hotel). From dinner on 31st March onwards, reporters can either use their coupons or pay for their own meals during restaurant opening hours.

  1. Work areas for reporters

There will be a work area for reporters set up in the Leisure Complex of the Boao Forum Hotel, providing phone, photocopying and broadband services etc.

Reporters may also use the center to enquire about interview arrangements, seek assistance, get photographs from the Forum, enquire about transport arrangements etc.

  1. Receiving notices from the Media Center

The MediaCenter may send reporters notices about press conferences and group interviews with guests. Notices can be received in the following ways:

  • Group email to reporters’ registered email address: it is suggested that reporters turn off the auto-reply function during the Forum
  • Smartphone communication methods: During the Forum, smartphone users can download the Boao Hub app and instantly receive updates. For instructions, please visit the Boao Hub desk at Media Center.
  • Tencent Weixin: Weixin users can add “Boao Forum for Asia” as a friend. The Forum’s QQ number is 1752721263
  1. Broadband, telephone application

The Boao Forum Hotel and Forum areas have full wifi coverage. If the broadband does not meet your needs, you can contact the Hainan Telecom operative stationed in the news center and request a dedicated line:

  1. Transport during the Forum

From 31st March to 3rd April there will be transportation for reporters between the hotels and the Forum venue.

Routes:

Route 1: Four Seasons Hotel – GSE Fortune Hotel – Peilan Bridge registration center – International conference center (West Gate)

Route 2: International conference center (West Gate) – Peilan Bridge registration center – GSE Fortune Hotel – Four Seasons Hotel

Drop-off points:

Four Seasons Hotel – Outside the lobby

GSE Fortune Hotel – Outside the lobby

Peilan Bridge registration center – Outside the main hall

International conference center – West Gate (Building one)

Please find attached a provisional bus timetable. The final timetable will be posted in the hotel lobby.

  1. Badge-only access areas

During the Forum, from 30th March onwards the Boao Forum Hotel and International Conference Center, Longtan Ling Hotel and Golden Coast Hot Spring Hotel are designated as controlled areas. All personnel and vehicles must hold a badge in order to enter.

Un-registered people (for example, spouses and children) and vehicles (including drivers) will not be able to enter these areas. please do NOT bring un-registeredpeople or vehicles to the site.
