INSTRUCTIONS FOR PLACING AN ABSENTEE BID OR PHONE BID
To place an ABSENTEE or PHONE BID, you must complete the ABSENTEE BIDDING APPLICATION or PHONE BIDDING APPLICATION. Use the print command in the file menu of your web browser and print the form along with these instructions.
A valid application must contain the following information:
(1) A VALID CREDIT CARD NUMBER & EXPIRATION DATE
Even if you are not going to pay for your purchases with a credit card, we still require a credit card number and the expiration of this credit card. Your credit card guarantees the goodwill of your bidding. In the event that you are not a winning bidder or your bids are not accepted, your Absentee or Phone Bidding Application will be destroyed (we do not keep credit card and personal information on file for future reference or use).
(2) the printed name AND SIGNATURE of the credit card holder
The name printed on the credit card (as specified on your Absentee or Phone Bidding Application) must be the same as the name specified on the Absentee or Phone Bidding Application. The affixed signature on your Absentee or Phone Bidding Application must be that of the actual credit card holder. We will not accept absentee or phone bids from 2nd or 3rd parties.
(3) A PHYSICAL ADDRESS & WORKING TELEPHONE NUMBER
You must provide a physical address on your Absentee or Phone Bidding Application. A residential or commercial address is acceptable, but we will not accept a P.O. Box. You must also include at least one working telephone number that you can be reached at anytime.
All absentee and phone bidders must forward a signed copy of the Absentee or Phone Bidding Application via fax or E-mail (a scanned copy of the signed document forwarded by E-mail is acceptable) at least 48 hours prior to the day of the auction.
Regardless of whether you are placing an absentee bid or a phone bid, please remember to specify the lot number(s) on your Absentee or Phone Bidding Application. We will not honor any absentee bid or phone bid unless a lot number/lot numbers is/are specified on the Absentee or Phone Bidding Application.
TERMS OF BUSINESS/ CONDITIONS OF SALE
A 10% Buyer’s Premium will be applied to every/all purchase(s) made by absentee bidding or phone bidding. For example, if your winning bid is $100.00, the final purchase amount (including the buyer’s premium) will be $110.00 (plus any applicable sales tax). Please adjust your bidding to accommodate the Buyers Premium within your auction budget.
Our preferred methods of payment are money orders, cashier’s checks, credit cards and bank transfers. If you wish to pay with a credit card, we will only accept Visa, Mastercard, American Express and Discover. Personal checks are acceptable for payments not exceeding $1,000.00 as long as funds are drawn upon local banks.
Note to Customers Paying By Credit Card
If you circle the “credit card” option on your Absentee or Phone Bidding Application, you are authorizing Southside Auction Co. to charge your specified credit card in the amount of your bid plus the applicable 10% Buyers Premium. The credit card option is located under the “Payment Type” section of your Absentee or Phone Bidding Application.
Residents of Oklahoma will be subject to Oklahoma Sales Tax (8.517%) unless they are exempt from sales tax and have the required permit (a copy of this permit will be required at the time of payment unless we have a copy of this permit on file).
Purchases made at auction between the days Monday - Thursday, must be paid for in full by 5:00pm Central the following day. Purchases made at auction between the days Friday-Saturday, must be paid for in full by 5:00pm Central the following Monday.
Southside Auction Co. (including its auctioneer(s) and staff) reserves the right to negate any application and/or sale that is not compliant with these terms of business. Although our company strives for perfection, auctioneers may not be held liable for failure to execute absentee or phone bid requests.
The auctioneers do not warrant the accuracy, genuineness, authenticity, condition, description, weight, count or measure of any of the lots specified on our website or in any printed materials provided before or during the auction. We recommend that you make a personal examination of any objects prior to placing absentee or phone bids Please make yourself familiar with the merchandise you are bidding on together with the terms of business/conditions of sale. Please determine condition, genuineness and/or authenticity BEFORE you bid as all items are sold “As is, Where is”.
Statements made by the Auctioneer and/or staff before or during the auction are only opinions and should not be construed as statements of fact. All announcements from made by the auctioneer during the auction will take precedence over any printed material provided before or during the auction.

NOTE TO ABSENTEE BIDDERS
A minimum bid of $100.00 is required for all absentee bids. Please remember to specify the maximum limit of each absentee bid (the maximum amount you are willing to pay for each item you leave an absentee bid on) on the Absentee Bid List. By completing and signing the Absentee Bidding Application and providing your credit card number, all absentee bidders give authorization to the auctioneer to bid on the assigned individual’s behalf up to the maximum limit of each absentee bid. If no maximum limit is specified on an absentee bid, the maximum limit will be the same as the minimum bid amount ($100.00).
We will require a bank letter of credit for absentee bids exceeding $1,000.00. Letters of credit must be received at least 48 hours prior to the date of the auction.
All absentee bids exceeding $1,000.00 are subject to approval by the auctioneer prior to their acceptance. The auctioneer may also request that absentee bidders submit up to three copies of photo ID via fax or E-mail (scanned copies of photo ID may be forwarded by E-mail) prior to the acceptance and approval of their bids.

NOTE TO PHONE BIDDERS:
A minimum bid of $500.00 is required for all phone bids. You will be called prior to the presentation of your item of interest at auction. If you have specified multiple phone bids on your Phone Bidding List, we will do our best to arrange the presentation of these items of interest so that multiple phone calls are not necessary (this may or may not be possible depending on our “in-house” crowd’s needs). Please confirm the lot number(s) of the items you are interested in at the time we call you. Please make sure that the telephone number provided on your Phone Bidding Application will be answered immediately at the time we call (we will not leave messages and await your response). We highly suggest that phone bidders include a home or business number as well as a cell phone number on the Phone Bidding Application.
