AIR TRAVEL

The Rockefeller Archive Center will reimburse your receipted travel expenses. Air tickets or long-distance train tickets must be purchased for the lowest available Economy Class fare. Every effort should be made to plan the trip in advance in order to take advantage of special discounts. Car rentals will be reimbursed for a compact or mid-sized. Personal auto use will be reimbursed at the current IRS level allowed for mileage. (The IRS rate for 2010 is 50 cents per mile.)

GROUND TRANSPORTATION

An airport bus, train, airport limousine, taxicab or personal car may to be used when traveling between your home and your local airport, and for traveling between New York-area airports and Sleepy Hollow. Fares will be reimbursed on an actual cost, plus gratuity. All fare expenses must be supported by receipts. Personal automobile use will be reimbursed at the current IRS level allowed for mileage. (The IRS rate for 2010 is 50 cents per mile.)

ACCOMMODATION AND MEALS

Accommodation and meals during the conference or workshop will be provided by the Rockefeller Archive Center. Meals during travel on the arrival and departure days will be reimbursed by the Rockefeller Archive Center at actual costs up to a maximum of $50 per day. Meal expenses must be supported by attaching meal receipts. Following institutional policy, the cost of alcoholic beverages must be deducted from meal receipts submitted for reimbursement.

TERMS APPLICABLE TO NON-U.S. CITIZENS

The U.S. Internal Revenue Service and the Department of Immigration require conference attendees who are resident aliens and non-U.S. citizens to comply with certain conditions before the Rockefeller Archive Center can reimburse their conference expenses.

RESIDENT ALIENS

Non-U.S. citizens who are authorized to live in the U.S. are required to present the following documents to designated RAC staff during the conference: • a current Passport and • a current Resident Alien Registration

NON-U.S. CITIZEN VISITORS

Non-U.S. citizens visiting the U.S. are required to present all of the following documents to designated RAC staff during the conference: • a current Passport • a current I-94 entry card issued by the U.S. Department of Immigration upon entry into the United States • a current B-1 visa or visa waiver, and • a current and valid round-trip ticket showing a departure date. These documents will be copied for the RAC’s records. If the country you are traveling from is part of the Visa Waiver Program, please review the requirements at:

It is imperative that you contact the U.S. Consulate in your country well in advance of your arrival in order to secure a B-1 visa. If your country participates in the Visa Waiver Program on arrival in the U.S present your letter of invitation to the U.S. Immigration Officer and explain that you are attending the conference or workshop for business purposes. The Archive Center will send this letter to foreign nationals prior to the conference. All non-U.S. citizen visitors are required to have a valid round trip ticket with a return date. Open tickets cannot be reimbursed.
