Reading/Approval of Last Month’s Minutes/Secretary’s Report- Sara J.- Mike H. asked to change the authority from fairboard must remove the trailers if alcohol consumption is reported to fairboard may remove trailers if alcohol consumption is reported. Mary Ellen L. motion to accept minutes as corrected. Michele W. second. Minutes were approved as corrected.

Treasurer’s Report- SEE ATTACHMENT. Carla K. reminded everyone to use the request for payment form, which is on the website under the advisor tab.

Extension- Jackie K.- Extension office is moving on November 3 to Graham Rd. Jackie K. gave Carla K. old Saddle Horse information found at the office. New address is 1100 Graham Road Cir, Stow. There will be issues porting the phones and the phones might not be on line immediately after the move. Jackie K. asked for advisors to not use the forms she sent via email to all advisors because they are not being used by OSU any longer. She has provided new forms which are dated 10/14 in the bottom right corner. Jackie K. explained the new registration form and states it must be done every year and she must receive a copy of the signed form. There is now a social media portion of the code of conduct form for youth and volunteers, and Jackie K. reminded us that she has removed volunteers for social media behavior. Jackie K. determines what is considered abusive behavior on social media. Advisors must complete a code of conduct each year and be finger printed every four years. Debbie H. asked if a person is finger printed from work if that could count toward this. Jackie K. states no. Only FBI and BCI original copies are accepted. There are forms to fill out for people to have original fingerprints sent to multiple locations. Criminal convictions must be reported to Extension within 3 days. Advisors will also be mandatory reports for child abuse and other crimes against children and training will follow. Mike H. asked if criminal convictions included traffic convictions. Jackie K. said it was not defined yet. Jackie K. reminded members to not be alone with a child. Extension is waiting on clarification on rules for camp counselors, including 4H age camp counselors. Sam O. asked if the code of conduct rule about tobacco use meant there would be no smoking by parents on the fairgrounds when the general public may use tobacco on the grounds. Jackie K. stated no one should be smoking in barns. Jackie K. will be out of the office from Oct 22-31 and will not be able to respond to all correspondence during this time.

Awards Banquet- Judi A.- Thurs Nov 13 from 6-8 at Wedgewood UM Church, 2350 Wedgewood Dr, Akron. Please bring a salad, soup, or bread to share and a dessert. Beverages, plates, and utensils are supplied by Summit Sizzlers. TB II is doing the ice breaker. There will be a speaker about Farm To School.

President’s Report- Carla K.- Please use the secretary’s box to place items that need to go to all clubs in it. There is a form that all 4H members should fill out with their email addresses to receive correspondence. Carla K. created a calendar that is attached to the agenda. Ground rules for Saddle Horse meetings will be: everyone has a turn to speak, be respectful with words and tone, we are here to build others up, and stay on task and keep time in mind. There is a committee report form which will be available on the website for committees to use. Motions by committees do not need a second because they have already been discussed at length in committee meetings. Committee reports must be submitted to executive before the meeting so they will be on the agenda.

4H Fun & Learning Day- Dee C.- January 4, 2pm, at Prince of Peace Church, Barberton, at the school. There will be different rooms for kids to see what different activities there are to do in 4H, including horse bowl, hippology, competitive trail, judging team, groom & clean, games, demonstrations, and to show the safety videos. The idea is to rotate between rooms. There will be pizza and we encourage people to bring friends.

Committees:

Fairboard- Mary Ellen L.- N/A

Fundraising- Sam O.- Ad sales can start now. There are updated forms in the club folders. The back cover has been sold already. The prices are the same as last year. Ads can be turned in before every saddle horse meeting at 7pm. March 12 at 6pm is the final turn in date. The goal is to have every 4Her sell $300. Jacki S. asked if clubs had to be turned in at time. Sam O. states no. Danette S. asks if it is still $140 if they sell ads. Carla K. says yes. Dee C. asked if there was a tally sheet for advisors to use. Carla K. said yes, but it was not made yet.

Maintenance- Cathy M.-Work day on Saturday, bring a cordless drill with a Phillips Head around 1pm. The tires purchased for the tractor did not fit and Cathy M. was able to get a full refund for the tires of $400.00. Paul B. found new tires for the same amount as we were refunded and Paul B. will provide the labor and bring the tires back. Cathy M. motion to allow Paul B. to purchase new 24” tires by Paul Borton for the tractor for $946.50. Mike F. says the tires do not have much tread, which is OK if things are dry, but even watering the arena causes problems. He also believes this should be a one time purchase. Brad H. asks if the maintenance budget has been exceeded. Cathy M. states maintenance has not. Jacki S. asked if the tractor was needed this year. Cathy M. says yes because the baseball mix will be put in. Motion carries unanimously.

Sunshine Club- Mary Ellen L.- Jim W.’s sister states he is in the hospital. Sue S.’s father passed away. Sent cards to the Marko family and David Meade. Penny B. had back surgery recently. Sam O. motion to donate $100 to the Schutte family due to the death in their family. Angie H. second. Judi A. asked if it would be better spent to give money as a scholarship or to donate food. Carla K. stated they have 100 people coming in to town. Jacki S. asked if their church was doing anything for food. Jackie K. asked if we are setting precedent by giving money to the family. Judi A. reminded her that we donated money in the name of her father. Carla K. precedent has already sent. Mike F. asked what happened; Sue S.’s father passed away this weekend. Amanda W. stated the Schutte’s give a lot to 4H. Carla K. will take $100 to the Schuttes and asked to be reimbursed when Joani is available.

Old Business:

Angie H.- Junior Leaders meeting will be Nov. 7.

Carla K.- Fair high point list was sent to Sara J. Will be placed on the website.

Mary Ellen L.- We lost 4 storage customers, but gained 6. We could still take smaller items.

Chris W.- Second PAS show will be June 27. June 20 is the first PAS show

New Business

Announcements:

Dee C- Groom & Clean state competition- Senior team placed 10th, Junior team placed 13th. She is looking in to dates and places for next year’s competitive trail rides. Junior Team (Madison C., Jessica P. & Hope H.) raw score is 107.43. Senior team (Emily H., Mackenzie C., Sam C.) raw score is 104.75. Junior team is awarded the rotating trophy based on highest raw score.

Mike H. asked when the treasurer changes; it will be Jan 1. Mike H. asked if Joani H. was ever bonded. She was not. Sam O. will be bonded.
