Setting Up Users in FACTS GUI

FACTS GUI requires that the User Security Groups and Users be imported into FACTS GUI before you can begin to use the Graphical User Interface (GUI) version of FACTS. This must be done upon initial setup and then can be re-done intermittently at will, when you want to re-import Users and Security Groups for Users and Groups that where added to the Character version of FACTS after the GUI setup was done. The steps are as follows:

  1. Convert User Groups (NOTE: This is only relevant to FACTS version 10.3)
  2. From the Main Menu Selection Box, type: admin.convert
  3. Choose the button “Convert User Groups”
  4. When this is completed a message will return stating “USER GROUP CONVERSION COMPLETED”. Press the OK button to finish
  5. Click the [X] button on the top-right corner to finish OR proceed to step 2

  1. Convert Users
  2. From the Main Menu Selection Box, type: admin.convert

(It is ok if you are already on this window from step 1)

  1. Choose the button “Convert Character Users”
  2. When this is completed a message will return stating “CHARACTER TO GUI USER CONVERSION COMPLETED”. Press the OK button to finish
  3. Click the [X] button on the top-right corner to finish
  1. Determine Users First-Time Password

Each user will be assigned a temporary password based on an internal algorithm. To

determine what this initial password is, your options (based on what FACTS version

you are running) are:

- From the Main Menu Selection Box, type: showpassword

- Enter the User Login ID and press “Show Password”.

If you are on FACTS version 10.4 or higher, you also have the options below:

- Press the “Power Tools” Icon

- Press the “Utilities” Icon

- Click “Show GUI Password” in the Explorer Tree on the right side to run the program.

- Enter the User Login ID and press “Show Password”.

or

- Use the top screen menu navigation to navigate to:

“Power Tools” --> “Menu User Tools and Utilities” --> “Show GUI Password”

- Enter the User Login ID and press “Show Password”.

This user’s First Time Password will be shown.

- Give this password to the applicable user as the password they use ONLY the first

time they log in. When they log in the first time, they will be asked to change

their password.

- Press “Exit” when finished.

  1. Maintaining Users Name/Password/Status

If you need for some reason to change a user’s password or re-enable the user because their account was disabled because they tried to many times to login with the wrong password, you can edit the User’s account via the User Maintenance program.

  1. From the Main Menu Selection Box, type: user.maint

or

  1. Press the “Power Tools” Icon
  2. Press the “Utilities” Icon
  3. Click “Mnt: User File” in the Explorer Tree on the right side to run the program (NOTE: You can also access this without 1st selecting main window Icons)

or

  1. Use the top screen menu navigation to navigate to: “Power Tools”  “Menu User Tools and Utilities”  “Mnt: User File”
  1. The following fields are applicable and can be modified:

Please do not edit any others as potential ill side effects could happen

  1. User Full Name
  2. User Password (& confirm Password)
  3. Password pre-expired button (clicking this button will pre-expire the user’s login and make them change their password when they log in next time)
  4. Disable button (un-check to enable). If checked user will not be able to log in.
  5. Default Language
  6. Default Company
  7. User email address (in “Other Info” Tab)
