General fund balance of $23.9K; $16K encumbered; $7, 854.83 unencumbered
Grant money should be spent by October 1st
ACTION: LIAISONS Swimming, Girls LaCrosse, Tennis, Volleyball, Football/Wrestling, Cheer, Cross Country, ASB -- Reminders to coaches to spend their grant money by 10/1/15.
Karen / Athletic Director Report -- Traci sent her regrets for not being able to attend
$25 ASB fee – parents are grateful for the lower amount but all students must pay (no scholarships)
Great coaches meeting last night 8/26
Sudden Cardiac Arrest form is new, came from Nick of Time Foundation
Coaches gear will be ordered and then coaches can have a uniform appearance
Photo dates are set – need captains, teams – dates are on the website

Early dismissal policy and , in general, and also for TOK, in specific
Why do some events have a gate fee and others do not?
ASB: what is the fee and where does it go?
Stress that athletes are expected to be at ALL practices and events – it is important to the coach and your team.
Communication – passing information through athletes (teenagers) is not always the most effective way to get information to parents.
ACTION: Annie, Lorraine, Karen, Steve, Tom, Heather(?) – will be available to staff a table
Karen / Sports Program – Deadlines: 9/14 – Shout Out’s; 9/18 – Ad Sales
  • Summary of Fall sales – last year we net $13K through ad & shout-out sales
Currently, promised $11K so far (about $2K is due to the increase in price)
Full-page ads are coming through. CA company (thanks Lorraine), new financial planner (thanks Leo)
  • On-going ad sales – need more people on board to make approaches
  • Note that Alliance for Education is not set up to manage online donations that are not general fund. There was hope/discussion for online shout-out sales but we are not there yet (noted from KW)
  • New committee members:
Coordinator: Karen Wilson (looking for an apprentice!)
  • Program Distribution: Jen Fallon (volunteered)
  • Advertiser Appreciation: OPEN – Coordinating pictures of Reader Board and sending Thank You’s to our advertisers
  • Ad Design: Margie, possibly–working with designer to design ad’s, about 6
Could provide promotion to a graphic designer
  • Photo Coordinator: Leia Smith and Kathy Stamey
  • Rosters/Schedules: Kelli Derrig
  • Promotion of Ad and Shout Out sales: OPEN – a communications job, Karen has the information, we need somebody to take ownership of this job
ACTION: ALL - Follow-up on the high probability contacts that Karen has on the Google Doc’s
ACTION: Need a new Program Coordinator to apprentice with Karen this year and take over next year, or a committee of folks

ACTION: Debbie will research how we can create Rosters for multiple teams
Steve, Tom / Ram Pride Championship Breakfast – major fundraiser for IABC
  • Promotion: Tom Donlea has agreed to help promote the Breakfast
Tends to be Fall teams that the best turnout for this event
Coaches can be a good resource for promoting the event
  • Speaker: Slick Watts is a strong possibility.
  • Ingraham-specific story could be the Nick of Time Foundation-identified student
  • MC: MJ McDermott has been confirmed
  • Need to manage the time better to ensure people are there at the end
  • Suggestion to recognize the teams who did well, maybe an insert in the program
  • Discussion about lowering the price to increase participation. 50% of the ticket fee covers the cost of the event (the IABC part), 50% of the ticket fee is donation for team. $35 ticket price reconfirmed.
ACTION: Ask coaches for Team Highlights that can be used at the breakfast.
ACTION: Team Liaisons – coordinate a sponsor for the coach(es)
ACTION: Coordinator for the captains/team leaders – Heather Jenkins(? Karen volunteered her)

Potential work stoppage – 9/3 or 9/9 are potential dates -- Sports continue regardless!
