Information Letter Visiting Choir 13/4-15

This is an information letter with both musical and practical matters, things good to know about your participating of the festival.
Accomodation
The choir will be staying at host families, maximum 20 km from school. Host families ensure that the singers come to the festival in the mornings and get home at the end of the day. The choir don´t need to bring sheets and towels.
Adults will stay in hotel Scandic Klara in the centre of Stockholm, the adress is Slöjdgatan 7.
Meals
Most meals will be served at school, sometimes in the concert halls. The choir will have breakfast at their host families.
Commuter tickets
Both adults and the choir will get commuter tickets to go by bus or underground. It is not necessary for going to the festival venues; everything is within walking distance, but it´s an extra service from us.The tickets are limitless the period you are here.
Personal guide
Each choir will have a personal guide to show the way to the different venues.
The guide is also your contact person during the days and the one to call if there is a problem. After 18.00 I am your contact person.
You will get a telephone list with important numbers when you arrive.
Tickets for concerts
Each choir gets 2 free tickets for each evening concert. If you need more tickets, you find information on the website: Let the Future Sing/Tickets for Concerts. The evening concerts costs SEK 100, the afternoon concerts are free.
Your workshop
Your choir and your host choir will do a 60 minute workshop together. Your Adolf Fredrik conductor concerning the workshop is Sofia Ågren, mail adress
Your evening concert
At Berwaldhallen- your choir sings a 40 minute program, 2 other choirs from school do 20 minutes each. You will have a 1.5 hour stage rehearsal time in the afternoon the same day. There will be 2 mikrophones, a grand piano and a note stand.
Your afternoon concert
Your own concert is at Adolf Fredriks kyrka, where you do a 45 minute program.
There will be 1 mikrophone, a piano, an organ and a note stand. If you plan to use the organ, I need to know before 30 april.
Official Dinner!
We have the honor to invite the conductor of your choir and one more adult to the official dinner at Grand Hotel in Stockholm Thursday 14/5 at 17.30. Invited except for you are conductors at school, principal at school and other specially invited people. Grand Hotel is close to Skeppsholmen where the seminar has been up to 17.00.
Insurances
You have your own insurances for your stay in Sweden, if someone gets ill and need to go to hospital we will help with practical things but we do not have the possibility to pay for the medical care, that must be covered by your insurance.
What follows now is not a complete schedule for your choir, but different activities that need comments. For the complete schedule, follow the instruction in the e-mail.
Monday 11/5
17.00 Arrival to the school
You will get the “Festival Kit“ with a map of the festival places, the festival program book, telephone list etc.
Choir: Will be picked up in the school yard by their host families.
Adults: To the hotel which is nearby.
18.00 Welcome dinner for the adults at the school.
Tuesday 12/5
8.30 Gathering at Filadelfiakyrkan
The host families will ensure that the choir members gets there in time.
Your choir gather and change into concert costumes, we show you where to sit and give instructions about the Opening Ceremony.
9.30 Opening Ceremony at Filadelfiakyrkan
There will be a flag parade, one of your singers will carry your national flag (we will provide the flags). At this concert you will not sing by yourselves. You will be on stage together with the other visiting choirs during the whole of the Opening Ceremony.
Afterwards the guide will show you the way to school by foot. It is not far.

13.15 Gathering in the school yard dressed in concert costumes.
Walk to Kungsträdgården with guide.
14.30 Choral Event at Kungsträdgården, an outdoor stage in the city centre.
Every visiting choir will perform one song (preferably one from your country), 3 minutes. There will also be common songs and a speach by the the Principal of Adolf Fredriks Music School.
15.15 Choir: Picked up at Kungsträdgården by their host families. Dinner and the rest of the day with the families.
17.30 Adults: Dinner at the hotel. If you want the free dinner, you need to tell the staff that you are from Adolf Fredrik and your name. There is a special menu to chose from.
19.00 Adults: Concert Adolf Fredrik´s Girls Choir and Adolf Fredrik ´s Boys´ Choir at “Musikaliska”(you have 2 free tickets).
Wednesday 13/5
9.00 Gathering at Filadelfiakyrkan
9.30 Morning Assembly at Filadelfiakyrkan - a short musical presentation of the choirs frpm Bulgaria, Finland and the Philippines.

12.45 Choir and adults: Time together with the host choir.
13.45 Light meal in the canteen.
14.00 Walk to Berwaldhallen
14.30 Rehearsal at Berwaldhallen
16.00-18.00 Rehearsal followed by dinner with the AF choirs.
19.00Concertat Berwaldhallen - your choir singing for 40 minutes, 2 choirs from the school singing each 20 minutes. Concert costumes.
Thursday 14/5
Choir: Activities with their host family
Conductors: 13.00-17.00 Seminar at Kulturfyren, Skeppsholmen in the city centre. A seminar for visiting conductors and conductors from the school.
Conductor and 1 adult: 17.30 Official Dinner Visiting conductors, conductors at school and specially invited people will have dinner at Grand Hotel close to Skeppsholmen.
Friday 15/5
8.30 Gathering at Filadelfiakyrkan, concert costumes
Please observe! Each choir only get 5 minutes on stage, just to try out how to stand and walk. Unfortunately there is no time for rehearsal.
9.30Morning Assemblyat Filadelfiakyrkan - a short musical presentation of your choir and the choirs from the Russia and the Netherlands. Your choir is on stage singing for 10 minutes.

14.00Concertat Adolf Fredriks kyrka – your own 45 minute concert.

A demonstration of choral progression at Adolf Fredrik.
