10. File Download Request

The File Download Request screen will allow you to request a student data file from ISES. You may select all record types or only count date or year end records. You are allowed to request a download of the following ISES student data:

·  Baseline Data – the basic student data presented in the ISES Student Load File layout.

·  Reporting Data – a comprehensive file including submitted student data, calculated data elements, info, error and warning information and student data reported by other districts/schools for which your district/school is accountable. These data are presented in the ISES Student Status File layout.

This function of the ISES only includes creation of these files. How you use the data on these files is for you or your Student Information System vendor to determine. Large districts may benefit from requesting files and comparing the ISES data to their Student Information System, whereas small districts may gather basic student data for local modification.

What do you need to do?

·  Request a file from the WSLS. Perform sections:

-  4.1 Access File Download Request;

-  4.2 Request a File; and

-  4.5 Exit Screen or Change Role Selection.

·  Get information about the requested Baseline Data file, how to use it, etc. See section:

-  4.3 Information about the Baseline Data File You Requested.

·  Get information about the requested Reporting Data file, how to use it, etc. See section:

-  4.4 Information about the Reporting Data File You Requested.

View the results of your download request – select Results on the Main Menu (for information on this screen see Results documentation).

4.1 Access File Download Request

Note: User access to this screen is based on the role assignment of the user.

4.1.1 To Access the File Download Request Screen:
Access File Download Request / 1.  Click on (Select) File Download Request on the main menu.

Note: The Main Menu may include additional options based on the role assignment of the user.

4.2 Request a File

4.2.1 To Enter Selection Criteria:
Enter Selection Criteria / 1.  District - defaulted to your district and cannot be changed on this screen.
2.  School - defaulted if you have access to only one school in the selected district. If you have access to multiple schools in the selected district, click on the dropdown arrow and select a school or the All Schools option.

3.  Collection Year – defaulted to the current collection. To choose a previous ISES collection year, select the collection year from which the data is to be downloaded and click on (select) .

4.  Record Type – select the type of records to be downloaded.
·  All – this is the default and would pull both types of records – Count Date and Year End.
·  Count Date 2###-##– this selection will pull all count date records based on the selection criteria.
·  Year End 2###-##- this selection will pull all year end records based on the selection criteria.
·  Year End (Summer Dropouts) 2###-## (beginning with 2005-06 Collection Year)

5.  Select File Type – click on a radio button to select the type of data that you want to download.
·  Baseline Data –this selection will create a file containing ISES student data which meet the selected School, Collection Year, and Report Type criteria. The file will only include records submitted by your District/School including modifications made automatically during validation and manually on-line. It is the same file layout as the ISES Student Load File used in the File Upload process, B.2 of the ISES Interface Specifications.
·  Reporting Data – this selection will create a file containing ISES student data which meet the selected criteria. This format is most useful after validation has occurred such that the info/error/warning and calculated fields are available. This file is a snapshot of the current ISES database. It contains all the data in the ISES database including fields populated from WSLS data, calculated fields and validation status information. This file will include records submitted by your District/School. Additional files will created for the student records submitted by other Districts/Schools if the selected District/School in bullets 1 and 2 is the District Accountable/School Accountable. This file uses the Student Status File layout, B.5 of the ISES Interface Specifications.

Request File / 6.  Click on (Select) to request the file. You will be shown the name of the file that is being created during the batch process.

Note: This screen now includes a graphic next to the Collection Year drop-down list.
7.  In order to retrieve the file created, from the main menu, select the Results screen and download the file.

4.3 Information about the Baseline Data File You Requested

4.3.1 The Download Baseline File:
File name / 1. The name of the file will tell you the district, the school, the date the file was created, the student file type selected, the sequence number, and the format of the file. The file name format is:
Example: D_3925_0050_12222004_IBC_00001.csv
Name: <SendTag>_<DistrictCode>_<SchoolCode>_<MMDDYYYY>_<Type>_<SeqNumber>.format
Size: <1> <4> <4> <8> <3> <5> <3>
·  SendTag – is always D.
·  DistrictCode – is your selected district and/or the submitting district.
·  SchoolCode – is your selected school or 0000, which indicates All Schools, and/or the submitting school.
·  MMDDYYYY – is the date the file was created.
·  Type – is the type of student file you have selected. The types include:
a.  IBA – if you selected all record types.
b.  IBY – if you selected Year End.
c.  IBC – if you selected Count Date.
·  SeqNumber – is a unique identifier for files generated online. Defaults to 00001 each day and increments sequentially for each file (not District/School specific) generated that day.
·  Format – is CSV or XML. The file will be created in a CSV or XML format based on the Submit Method that has been selected for your school on the District/School ISES Preferences screen.

4.3.2 When To Request the File:
1.  Request this file if you have created student data (File Upload / Create Student Record List) and wish to add and modify data for subsequent file upload in addition to or in place of manual on-line data entry.
2.  Request this file if you have previously uploaded student data (File Upload / Create Student Record List).and wish to add and modify data for subsequent file upload in addition to or in place of manual on-line data entry.
3.  Request this file if you want to reconcile this ISES data with your local SIS. Data added on-line will be included in the Baseline Data File you download and can be used in subsequent file uploads so these data are not deleted.

4.4 Information about the Reporting Data File You Requested

4.4.1 The Download Reporting Data File:
File name / 1. The name of the file will tell you the submitting district, the submitting school, the date file was created, the student file type selected, the sequence number, and the format of the file. For this download selection, The file name format is:

·  SendTag – is always D.
·  DistrictCode – is your selected district and/or the submitting district.
·  SchoolCode – is your selected school or 0000, which indicates All Schools, and/or the submitting school.
·  MMDDYYYY – is the date the file was created.
·  Type – is the type of student file you have selected. The types include:
a.  ISA– if you selected all record types.
b.  ISY – if you selected Year End.
c.  ISC – if you selected Count Date.
·  SeqNumber – is a unique identifier for files generated online. Defaults to 00001 each day and increments sequentially for each file (not District/School specific) generated that day.
·  Format – is CSV or XML. The file will be created in a CSV or XML format based on the Submit Method that has been selected for your school on the District/School ISES Preferences screen.
Note: Files generated on the same day of the same type for the same school will be differentiated by sequence number. Your request may generate multiple files:
·  A file containing students submitted by your District/School
·  A file containing students submitted by a different District/School which identify your district/school as the accountable district for the student. A separate file is created for each submitting District/School. You will be allowed to access these files based on District/School that initiated the request for the file.

4.4.2 When To Request the File:
1.  You may request this file to keep record of Info messages received by your school/district. These messages are overwritten with each validation.
2.  You may requestthis file to gather all current information, errors and warnings for import into your local SIS.
3.  You may request this file to gather ALL elements including those which can not be modified by the district, such that you may evaluate and compare to the ISES progress and summary reports.

4.5 Exit Screen or Change Role Selection

4.5.1 To Return to the Main Menu:
/ 1.  Click on (Select) on the navigation bar at the top of the page.

2.  User is returned to the ISES Main Menu.

Note: The Main Menu may include additional options based on the role assignment of the user.
4.5.2 To Select a Different Role:
Change Role / If you are assigned to more than one Role and/or District and/or School you may change your selection by performing the following steps.
1.  Click on (Select) on the navigation bar at the top of the page.

2.  If you have the Select Role icon shown on the Main Menu screen then you are assigned to more than one Role and/or District and/or School.

Note: The Main Menu may include additional options based on the role assignment of the user.
3.  Click on (Select) on the navigation bar at the top of the page.
4.  You are returned to the Role Selection screen.

5.  You may select another Role.
4.5.3 To Exit ISES:
/ 1.  Click on (Select) on the navigation bar at the top of the page.

2.  You will exit the ISES and be transferred to the Logoff screen.

3.  To close your browser click on the X () in the upper right corner of the page. Note for some User’s this may be a white X with a red background, yet for other User’s it may be a black X with a gray background.
