All sites must send to the relationship manager the following reports,even if you maintain the 8879's in your office.

Desktop Users of Taxwise:

From the transmitting computer:

Logon as "Admin"

Click on"Reports"

Click on "Reports List"

Select the reports listed below

Check the dates and change as appropriate 01/01/2010 to 4/31/2010

Click all 3 boxes under "Report Options"

Click OK

Print the report

Submit Backup CD or thumb drive of returns

TWO (TaxWise Online)Users

Click Reports from Top line Menu

Click on "Generate" for each of the following reports

Once report is generated, click on "Download"

Backup of Information on IRS and Non-IRS Computers--THIS APPLIES TO ALL E-FILERS!!!!!

In order to comply with the electronic filing program guidelines, a complete backup of all electronically filed returns must be created and sent to our territory office.Please mail theback-up disks, cd's, jump drives, etc. to the IRS Buffalo or AlbanyTerritory Office when sending in your final shipment of Forms8879.

PMSD = Portable Mass Storage Device(such as cd, jump drive,etc.)

ALL SITES WITH IRS-LOANED LAPTOPS: ALL IRS-LOANED LAPTOPS MUST BE RETURNED TO THE DEPOT BY MAY 15TH!

Due to thecontinued upgrade of services available from our centralized computer depot, all IRS-ownedlaptopswill be returned this yearto theDepotbydirect shipment from our partners.IRS-loaned laptops should not be returned to territory offices! The IRS Depot will provide pre-paid UPS shipping labelsand boxes.

SHIPPING LABELS & BOXES

To request shipping labels and/or packaging materials, please send an email to:

Subject line should include: Mailing Labels

Each request should include the following:

  • Address and phone number ofrequestor
  • Number of boxesneeded
  • Number of computersthat will be shipped in each box
  • Packaging materialsneeded by the partner for shipping.

The Depot will then generate the labels and send them to the partner, along with anyboxes andshipping materials requested.

Please make sure that all necessary items such as power cords, mice, removable drives, etc. are included in the laptop bag when you return the equipment. All extraneous items such as disks, paper and personal items should be removed from the laptop bags before they're returned.

TO SCHEDULE PICK-UP BY UPS

To schedule pickup of IRS-loaned laptops, call UPS at 1-800-833-9925.If you call any other number, you will be charged a $10 pickup fee that cannot be reimbursed!

TRACKING INFORMATION:

Please provide UPS tracking information to our territory office by e-mail when you have shipped the laptops to the Depot.

Please provide:

  • UPS Tracking Number
  • Barcodes of Laptops in each box
  • Date shipped

This information should be emailed to us at or Albany area sites for Buffalo area sites.

DATA DELETION:

IRS-LOANED EQUIPMENT:

ALL DATA MUST BE DELETED (WIPED) FROM THE IRS-LOANED COMPUTERS BEFORE RETURNING THEM TO THE DEPOT!

ONLY DELETE DATA AFTER ALL BACK-UP OF INFORMATION HAS BEEN COMPLETED!!!!

IRS streamlined procedures for deleting data from IRS-loaned computers by pre-installing a data deletion program on the computers. All the computers were pre-loaded with a data deletion program called "Wipe Disk- Data and Operating System."

To delete data:

  • Click on Start
  • Select Programs
  • Look for the program: "Wipe Disk - Data and Operating System"
  • Double click on the program "Wipe Disk - Data and Operating System"
  • A box will appear with: "Warning! All data will be wiped from disk."Type the following in each box to continue: "Delete My Data"(User will be required to type in this statement twice to confirm this is what they want to do.)
  • Type in the phrase, "Delete My Data," in the two boxes only after all information has been backed up to disk or CD. Deletion may take anywhere from 15 minutes to 45 minutes per machine but does not require any additional user interaction.
  • The program will start deleting the data and will show a progress bar.
  • Once completed, turn the machine off.
  • The user may verify to make sure the process completed by turning the equipment on. A message will be received that it could not locate an operating system. This means the process worked.

Note: An error message may be received and the screen may turn blue and say it is "dumping all memory." This is okay.

Please refer to Publication 3189, Volunteer Efile Administrator's Guide and/or "The Welcome Kit" that arrived with IRS-loaned laptops for additional information on data-backup and data-deletion.
