The Exhibitions department at IWM London are looking for someone to help the department deliver its corporate priorities byassisting with the processing of a backlog of Temporary Exhibition files for the Museum Archive. These duties will enable the department, the wider museum and visiting researchers to retrieve key information about Temporary Exhibitions held at IWM London more effectively and efficiently.

Role Remit

Volunteering will take place under the supervision of theExhibitionsOfficerand Exhibitions departmentstaff at IWM London. The Exhibitions Archive volunteer role will be a short term placement from June – September 2017, two days a week, andwill only be at IWM London.

Role Tasks

  • Helping to relieve a backlog in the processing of Temporary Exhibition files for the Museum Archive
  • Organising Temporary Exhibition files in accordance with Records Management Guidelines
  • Packaging of Temporary Exhibition files for long term retention
  • Numbering and transferral of Temporary Exhibition files to archive boxes
  • Listing of Temporary Exhibition files in an Excel spreadsheet, preparing the way for the transfer of recordsto the Museum Archive

Role Exclusions

  • Use of Adlib CMS database
  • General administrative duties outside the Temporary Exhibitions archiving project

Time Frame

Looking to start in June 2017, the Exhibitions Archive volunteer will volunteer for a period of three monthswithin the Exhibitionsdepartment at IWM London.The volunteer’s performance will be informally reviewedover the three months of volunteering operations.

Level of Commitment

Initial Induction, Role TrainingRole Delivery

IWM is looking for a volunteer who can commit two set days a week over a period of three months. No attendance is required or available outside public opening hours (10am – 5pm).

Induction and role training willbe given by supervising staff members on the first day of volunteering, with ongoing supervision throughout the three months of volunteering operations.

Hours of Operation Involved

Hours for volunteering in this role will probably be between the hours of 10.00 AM to 5.00 PM.

Relevant Qualities / Experience

  • Ability to recognise and interpret numbering systems
  • Knowledge of archival systems and conservation requirements
  • Knowledge of filing systems
  • Experience of using Microsoft Office including Excel
  • Careful, methodical approach and attention to detail
  • Good written and oral communication skills
  • Ability to work independently and under instruction
  • Organisational skills to ensure goals are reached in a timely fashion
  • Personal health appropriate to the duties listed (the Museum must be informed of any acute medical condition in order that it can determine whether the duties listed are appropriate)
  • Awareness of own role and responsibilities
  • Reliability and flexibility
