ICF Metro DC Board – Role Descriptions

Professional Development Director: Expand member and non-member coach learning by planning and producing a long-term education agenda and innovative programming, using multiple formats as monthly meetings, specially planned professional development events, e-programs, tele-programs and other formats that offer a wide range of development opportunities and offer ways for coaches to gain CCEUs. Promote networking and community building among chapter members. Manage a professional development committee.

MemberEngagement Director: Welcome new members, provide information on volunteer opportunities and host quarterly new member orientations. Implement activities to recruit and retain current members. Manage the credential mentor program and a membership committee. Increase member engagement through multiple approaches as working with the Board to develop working groups and committees to support chapter initiatives, recruit members to support our current committee structure and seek approaches that encourage greater member participation.

Communications Director, Internal: Create and implement a communications agenda to members. Expand awareness of the chapter’s purpose and value proposition, working with other Board Directors. Inspire interest and action. Manage a marketing/communication committee.

Outreach Director: Create and expand the profile of coaching in the community with the focus on audiences that have not and/or cannot experience the benefits of coaching. Through connections within the community, educate the general public about coaching and develop pro-bono coaching opportunities. Manage a community outreach committee.

Online Services Director: Provide technology support for members on web-related questions, and manage/coordinate contractor web support and website designs, as needed. Manage a technology committee that includes an emphasis on web design, social media, and online collaboration. Provide recommendations to the Board regarding technology tools. Engage in strategic thinking about the content and direction of the website to increase accessibility and engagement, working in coordination with other Board Directors.

Directors-at-Large, Special Projects. Directors may be brought onto the board to head up Special Projects, such as the Capital Coaches Conference and other special events, or to develop a particular capability.

Secretary: Keep chapter’s formal records and take the minutes at Board meetings. Plan and manage high priority Board projects and serve as part of the chapter’s leadership team. Correspond and communicate with ICF Global and external organizations, as needed. Historically has planned/coordinated the Prism Award event.

Treasurer:Responsible for the fiscal planning, operation and financial reporting of the chapter and of all committees and programs established by the chartered chapter.

(NEW) Marketing/Communication Director: The Marketing/Communication Director is responsible for implementing a communications agenda to members and the coaching community, and communications and marketing initiatives that generate awareness of the chapter’s purpose and value, and inspire interest and action of chapter members, the general public, and chapter stakeholders. Ongoing responsibilities include but are not limited to: Manage the marketing/communication committee.

  • Manage compilation and dissemination News & Notes, a twice-monthly e-mail that includes announcements of upcoming events, awards, deadlines and other chapter news.
  • Coordinate with communications representatives for specific events, including Prism Award and the Capital Coaches Conference.
  • Issue regular news releases about chapter activities to appropriate media outlets.
  • Establish and support venues for promoting chapter.
  • Support social media efforts of the chapter.
  • Manage marketing/communication committee and sponsors (and prospective sponsors).

Community Outreach Director: The Community Outreach Director creates and expands the profile of coaching in the community with the focus on audiences that have not and/or cannot otherwise experience the benefits of coaching. Through connections within the community, the Director educates the general public about coaching and develops pro-bono coaching opportunities. Ongoing responsibilities include but are not limited to:

  • Manage a community outreach committee.
  • Identify potential community service projects.
  • Present various projects to the Board.
  • Establish relationships with the community service organization.
  • Work with publicity to gain exposure for projects.
  • Coordinate and/or support chapter activities for the annual ICF Coach Week.

Online Services Director:The Online Services Directorshowcases chapter programs and relevant information on the chapter’s website; engages in strategic thinking about the content and direction of the website to increase involvement, and writes, edits and solicits engaging copy for the site. The Director provides technology support for members on web-related questions, and manages /coordinates contractor web support and website designs, as needed. Ongoing responsibilities include but are not limited to:

  • Manage an online committee.
  • Negotiate/manage contracts for website management.
  • Interface with ICF chapter event staff on issues a web-based event registration.
  • Respond to members questions on password functioning, ID numbers and other technical issues.

(NEW DESCRIPTION) Membership/Engagement Director: The Membership Director welcomes new members, and creates and implements ways to recruit and retain members. Ongoing responsibilities include but are not limited to:

New Member Welcome

  • Review chapter membership list (obtained from ICF Global) and identify new members.
  • Contact new members to orient them to the chapter (the website, how to get involved. etc.).
  • Review chapter membership list (obtained from ICF Global) and identify new members.
  • Develop and distribute new member packets.

Member Recruitment, Retention, and Development

  • Manage a membership committee.
  • Contact and encourage lapsed ICF members to return.
  • Provide ICF membership information to non-ICF members who attend meetings.
  • Respond to inquiries regarding membership.
  • Staff Membership Central at all ICF meetings including:
  • Membership applications.
  • List of member benefits.
  • Information on ICF credentialing.
  • Information about ICF Metro DC.
  • Coordinate the Board (particularly the Engagement/Partnership Director) for outreach and connection opportunities to active chapter members.

ICF Credentials Mentoring Program

  • Enlist MCCs and PCCs as mentors.
  • Match mentors to coaches seeking credentials.
  • Review evaluations and modify program, as needed. s

The Director promotes networking and community building among chapter members.Ongoing responsibilities include but are not limited to:

  • Manage a professional development committee.
  • Solicit speaker proposals, review proposal and speaker credentials and attend presentations,as necessary, to vet speakers/programs for appropriateness for the chapter.
  • Provide programs throughout the year, using technology and through partnership with other professional associations, learning organizations, ICF chapters and others that expand learning opportunities.
  • Match speakers, programs, events and program dates and maintain communication with speakers and members (as needed) prior to event and advice of headcount. Manage CCEU applications and forward to ICF headquarters for approval.
  • Prepare CCEU certificates for distribution at meeting. Write announcement for upcoming presentations.
  • Coordinate with chapter administrative staff to logistics and administrative support as meeting locations, food and beverage needs, audio-visual support, coordination support, and technology links.
  • Maintain program evaluation form master and distribute after program delivery.
  • Tabulate completed program evaluations; review/report results to the Board and speaker(s).
  • Maintain monthly follow-up files for use in future programming.

(NEW) Partnership Director: The Director initiates activities/contacts with coach partner/organizations as colleges and universities, with coach training programs, ICF chapters, and coach-focused professional associations and organizations for the purpose of expanding member services and offerings. Ongoing responsibilities include, but are not limited to:

  • Manage apartnership committee.
  • Interface with the chapter Board, specifically the Membership/Engagement Director to identify opportunities to engage members to support their initiatives.
  • Reach out to chapter members to recruit, volunteer and respond to members inquiries.
  • Coordinate with the Board to identify and initiate partnership opportunities.
  • Reach out to other ICF chapters to plan and implement partnership events, programs and new initiatives.

Secretary: The Secretary keeps the formal records and takes the minutes at Board meetings. Historically the secretary is responsible for planning/coordinating the Prism Award. The secretary also takes on the responsibility of corresponding with ICF Global. Ongoing responsibilities include but are not limited to:

  • Serve as part of the chapter’s leadership team to plan and manage high priority projects.
  • Keep copies of all records, including meeting minutes, correspondences, forms, meeting attendance lists and official documents.
  • Manage the annual election process, including call for candidates, notice of election, ballots and results.
  • Arrange for mailings and official correspondence.
  • Maintain a record of all bylaws, past and present.
  • Oversee chapter website content in conjunction with the Board and chapter members.

Treasurer:The Treasurer is responsible for the fiscal planning, operation and financial reporting of the chapter and of all committees and programs established by the chartered chapter. Ongoing responsibilities include but are not limited to:

  • Establish proper accounting procedures and financial accounts.
  • Communicate with outside accountants, on an as needed basis, regarding chapter financial and tax business and issues.
  • Maintain the chapter books and records through QuickBooks.
  • Keep permanent files of all receipts and expenditures (7 years).
  • Supervise the collection of fees and other monies.
  • Pay chapter bills.
  • Supply appropriate monthly budget and expenditure reports to the board of directors.
  • Sign all checks.
  • File required IRS forms.
  • Coordinate financial audits.
