Sample Communication from Participant to Respondent

Prior to Initiating The PROFILOR 360 Process

Participants review and revise this sample as appropriate for each of their respondents. Preferably this communication would take place as a conversation, but can also be sent in written form. Each participant should ensure their respondents receive this information beforesubmitting their list of respondents.

Hi [Respondent Name]:

I need to ask a favor of you. I will be participating in a 360 feedback process through PDI (Personnel Decisions International). The purpose is to help me learn more about my strengths and to identify opportunities to be more effective. This process is solely for my own insight and professional development planning.

I would like to invite you to be one of my respondents. I am inviting several people from various perspective groups ([boss, peers, direct reports], etc.) to provide feedback, and I am specifically asking people I believe can and will provide me with valuable and candid feedback. Your feedback will be anonymous.

To maintain each person’s anonymity, the responses will be reported as group data only. So your responses will be grouped with all the others in my “[peer/colleague]” group. Only my boss’ individual responses will be identifiable in the feedback report.

Soon you should receive an email from , which will include a web address and login ID. The subject of the email will be “[Your name] Requests Your Feedback.” Please do not delete this email.

If you are willing to participate, simply access the website and follow the directions to complete the survey. It will take about 20 minutes to complete. Your responses will be submitted directly to PDI’s processing center, and need to be completed by [cutoff date] to be included in my feedback report.

As the feedback is being collected, you may receive some reminder e-mails from me or the system coordinator. I want to assure you, however, that your actual responses are not visible to anyone else at any time during the process. I want you to feel completely comfortable being candid, and appreciate anything you are willing to share.
