Education and/or Credential Requirements: AA or equivalent of experience in working in Human Resources and Payroll Specialist position

Primary Function

Under the supervision of the Director of Operations, performs clerical, administrative and auditing tasks that involve the recruitment, hiring, orientation, maintenance, and termination of classified, certificated and short-term temporary personnel.

Representative Duties and Responsibilities - may include, but are not limited to the following:

  • Performs a variety of administrative duties related to the hiring of classified and certificated personnel to assure compliance with school, County, and State laws, rules, codes and regulations
  • Receives, verifies and answers inquiries regarding employment opportunities; prepares and distributes job postings for classified and certificated personnel; distributes job opening information within the school and to other agencies (e.g., colleges and universities, EDJOIN, Craigslist, etc.)
  • Coordinates interview panels and screening committees; schedules interview times and locations; participate on interview panels for job applicants as necessary; performs background checks and reference checks
  • Receives calls and inquiries from applicants regarding job openings; disseminates appropriate information; distributes congratulations and regret notices to applicants
  • Prepares necessary paperwork (Personnel Action Form) to establish new employees on payroll, including substitute and student employees; verify appropriate salary level for classified and certificated personnel, including increment and/or longevity; code personnel forms according to established procedures
  • Prepares, distributes and files necessary paperwork (Personnel Action Form) in the event of a change in an employee’s position, work location, salary or special payments; performance evaluations, BTSA, professional growth and supplemental certifications, NCLB and credentialing
  • Provides orientation to the School’s employee benefits program and human resources policies and procedures and assist new employees with completion of necessary forms
  • Monitors and maintains benefits for all employees including medical/dental/vision/life insurance and 401(k), 403(b) and FSAs
  • Works closely with payroll service to manage semi-monthly payrolls. Notifies payroll service of changes in personnel status affecting salaries and processes timesheets/extra service hours
  • Monitors leaves of absence; notifies supervisors as required
  • Completes and provide a variety of reference and verification information on current and former employees; prepares and distributes necessary paperwork in the event an employee retires, resigns or otherwise leaves employment of the district
  • Coordinates, prepares and maintains personnel files; ensure confidentiality of personnel files; maintains records of performance evaluations and other confidential information
  • Maintains records of professional growth units earned by employees and adjust salary schedules when applicable
  • Compiles Board agenda materials and sends to Board members prior to meetings
  • Takes Board meeting minutes
  • Composes correspondence dealing with specific human resources issues; informs Director of sensitive and difficult issues or matters requiring action
  • Responds to inquiries from a variety of internal and external parties (e.g. staff, parents, students, public agencies, etc.) for the purpose of providing information, facilitating communication among parties and/or providing direction
  • Assists in the orientation of new site personnel regarding appropriate school and district practices for the purpose of effectively assimilating new personnel into site operations
  • Receives cash from students and staff; makes bank deposits and verifies accounts receivable journal entries

General Duties

  • Evaluates situations, including confrontational and/or volatile interactions involving other staff, students, parents, the public, etc. for the purpose of taking appropriate action and/or directing issues to appropriate personnel for resolution.
  • Completes tasks on office workflow task sheet as assigned by Office Supervisor to ensure that routine process are followed, deadlines are met and customer satisfaction is realized
  • Assists administrative and office personnel as needed for the purpose of supporting them in the completion of their work activities
  • Composes professional and mistake-free documents (e.g. standardized correspondence, hiring bulletins, salary schedules, etc.) for the purpose of documentation, providing and/or requesting information
  • Stays informed of all school related information disseminated through newsletters, bulletins, e-mails, calendars, etc
  • Meets regularly with the Director to map out weekly and monthly workflow and attends other meetings as assigned
  • Responsible for ensuring all Local, State and Federal posting requirements are current. i.e. Wage And Hour Act, EEOC Guidelines and Health And Safety Guidelines

Hours and Schedule

  • Start time: 7:30 am
  • End time: 4:00 pm
  • Five days per week
