·  use our checklist for planning a successful kickoff event
order promotion invitations, banners, mailers and other tools to promote and hold your event

What You Need TO DO:

When? / What?
Immediately / ·  Reserve the date and time on your calendar.
NOTE: There are different East Coast and West Coast webinar times.
·  Identify the one distributor in your region that is your best prospect for holding a first quarter promotion.
·  Invite the customer personally as part of a broader discussion on
Promotions. If you can’t get the customer to participate, join us anyway!
·  To successfully participate using web technology, the customer you select must meet these requirements:
Room: Closed room is preferable – conference space.
High Connection Speed: Must have DSL, cable, or LAN.
Telephone: Must have a speaker phone
Computer: Must have Internet connection
Projector: Must have an LCD projector
These requirements must be met or the Webinar simply won’t work.
Once The Distributor is Selected
Deadline: November 1 / You must confirm with Vickie Marks via email by November 1st. Send her the following information:
1.  Your name
2.  Distributor name (if participating)
3.  Names of expected participants
4.  Time for your Webinar (East or West Coast)
5.  Reference “Promotion Training Webinar” in the subject line of your email
Registrations received after this date cannot be accepted!
Confirm! / Visit, call, or email your selected customer to be sure attendees are signing up and that they remember the time, place, and topic for the event.
October 31st / If you have not received an invitation by 10/31, contact Vickie at
717-396-6424. Without an invitation, you will NOT be able to hook up for the Webinar. You must also SAVE the email invitation and have it with you on the day of the Webinar to be able to log-on to the Webinar.

You receive WebEx email invitation and confirmation / After you receive this invitation by November 1st: Set up your WebEx account. You must also save the email invitation and have it with you on the Webinar day to be able to log-on to the Webinar.
Do not wait until the day of the event to do this!
November 7 / You should have received your Seminar Workbooks by this date. If you do not receive them, also contact Vickie Marks at 717-396-6424.
Day of Webinar / Your role:
·  Set up your computer, LCD projector, and speaker phone in the meeting room.
·  At 15 minutes before the Webinar: (If you try to do this any earlier, it will not work. Don’t panic. Approximately 15 minutes in advance it WILL work).
§  Connect to meeting using link in email invitation
§  Project slides at location using LCD projector
§  Dial into the conference call
The Webinar has started! / When attendees begin to arrive:
·  Handout any worksheets or planning guides
Once the Webinar begins:
·  Ensure the phone is centered so everyone can hear.
·  Let us know if everyone is following along or if we should back up and revisit any information so we’re sure to all be on the same page.
At the Close of the Webinar / Use this time to:
·  Discuss how the information presented in the Webinar
influences or affects your plan with your customer.
·  Work through the planning process following the promotion Planner, Part I Guidelines.
·  Decide on a feature product, theme, and timing.
·  Create a schedule and list of resources required.
·  Determine an owner at the Distributor location.
·  Document your next steps and assign action items.
·  Schedule your next planning meeting.
·  Complete a Webinar evaluation form to help us improve for the future or indicate any specific concerns you have for your location. Fax this in to 717-396-6038 at the close of your meeting. We will be in touch with you.
