How to import .pst file data into Outlook

With FGCU now utilizing Microsoft as a hosted solution for email, there also comes more options to allow you more access to your email. The purpose of this process is to give you instruction on how to move all of your “offline” mail or pst’s that you have created back to the server. By doing this you will have access to all of your mail from any device you use.

Follow these steps to import, your pst into Outlook:

  1. First step, you will need to know the name and location for the pst’s you are wanting to import. In order to do this, find the pst you want to import in your Outlook items.

a)Right click the pst you will be working with

b)Select “Data File properties” from the menu

c)Select the Advanced button

d)Take note of the location in the “Name” box, this is your pst file name. Also please note the location in the “Filename” box this is where your pst is located. Now click “OK” twice and close the two dialogue boxes that you just opened.

e)You will need to repeat these steps for any additional pst’s you are using.

  1. In order to import the pst, you will need to “Disconnect” the pst from outlook

a)Right click the pst that you will be importing

b)Select the menu option Close “PST NAME”

c)The pst should now be removed for your Outlook

  1. Import your pst

a)From the File Menu, select Open & Export

b)Select the “Import/Export” item

c)In the Import and Export Wizard, select“Import from another program or file”, and then click Next.

d)Select“Outlook Data File (.pst)”, and then click Next.

e)Select “Browse”

f)Browse to the pstfile to import. (this is the location you noted in step 1.)

g)Highlight the pst to import and click the open button

h)Select the radio button for “Replace duplicates with items imported

i)Click Next.

j)Make sure the correct pst shows up and is selected.

k)Make sure the box for “Include subfolders” is checked

l)Select the Radio button for “Import items into the same folder”

m)Make Sure it’s your own mailbox you are importing into

n)Click Finish.

  1. Your mail is now being imported by Outlook and may take a few minutes to complete. Follow these steps for each pst you have created. If you have any questions please feel free to contact the BTS Help Desk.
