How to Conduct OJT (On the Job Training)

1.0SCOPE:

This procedure defines how any “On the Job Training” should be conducted within QualiCal, LLC operations.

2.0DEFINITIONS:

2.1OJT:On the Job Training

2.2Trainee:Employee receiving the training

2.3Trainer:Employee giving/presenting the training

2.4KSA’s:Knowledge, Skills, Abilities (and/or attitudes)

3.0RESPONSIBILITIES:

3.1Quality Assurance Manager

Ensures all procedures are followed and OJT is documented. Conducts OJT where necessary/qualified.

3.2Trainer

Ensures all procedures are followed and OJT is documented. Ensures all training materials are ready.

3.3Trainee

Whilst attending the training will remain focused and dedicated to the learning process.

4.0PROCEDURE:HOW TO CONDUCT OJT

4.1Conduct pre-meeting to reduce any anxiety on the trainees part and discuss the requirements of the OJT program.

4.2Trainer prepares for the session by scheduling to ensure minimal distractions, reviewing tasks to make sure they know how to do them themselves and arranging any necessary materials.

4.3Trainee will prepare by reviewing any modules/reading materials and preparing any questions they already have.

4.4Establish shared mental model; develop rapport and review the training model so that everyone is on the same page. Check the trainee’s prior KSA’s and experience. Encourage the trainee to ask questions.

4.5Trainer demonstrates the task as trainee observes. First, there will be a preview of the task, explain any safety cautions or quality concerns. Position the trainee,

If needed, and ask trainee to refer to module. Demonstrate the task whilst explaining it. Then perform a summary, asking the trainee questions.

4.6Ask the trainee to perform the task, including cautions and concerns. Trainer

positions self to observe. Ask trainee to refer to module and ask trainee to explain each step out loud. Ask trainee to summarize and ask questions.

4.7Ask trainee to perform task without coaching. If not ready repeat steps 4.5 and 4.6 as needed. Ask trainee to assess self, and trainer to give feedback.

4.8Trainer and trainee summarize task, go over any questions and review performance objective covered at start.

4.9When ready, trainee performs task for trainer whilst the trainer evaluates against performance objective.

4.10Use worksheet (QAF-24_Trainee OJT Performance Report Form) and rate trainee as “acceptable” or “unacceptable”. Trainer and trainee write pertinent comments and trainer describes actions to be taken if rating is unacceptable.

4.11Conduct follow-up training at least twice per module within a few weeks of training session to refresh and maintain retention of training.

4.12Provide recognition for completion of training (QAF-25_QualiCal Training Cert).
