Collection Assessment

Submitted by Carley knight

November 2009

Introduction

Based on guidelines provided by the WLN Collection Assessment Services, which provide a framework within which to evaluate a library's current holdings and the level of activity at which the collection is being developed, the Music collection is rated an overall 3cP (Advanced Study or Instructional Support Level, in the primary language). The 3c level indicates that there are “resources adequate for imparting and maintaining knowledge about all aspects of the topic, which are more extensive than the intermediate level, but less than those needed for doctoral and independent research.” The Music Department offers a Master of Arts with a major in music with two different concentrations: General Music or Music Education. Those who choose Music Education as their concentration focus on either Instrumental or Choral/ Vocal study. Please refer to the Music conspectus sheets and checklist analysis for a more detailed examination of the library's holdings.

The library’s collecting level was measured against the Blackwell’s All Publishers Approval Plan Coverage. The average percentage added from 2004 to 2009 is 74%. This rate falls well above the guidelines of the recommended collecting level to maintain a 3cP level collection which is between 21%-25%.

*We do not break down the M’s on our cataloging statistics, so these counts are for the entire M collection.

Withdrawals for the collection were minimal and totaled 235, making up barely 1% of the total collection. Withdrawing duplicated items and outdated materials helps to maintain the currency of the collection.

Access to electronic resources (defined access)

The Library’s defined access is rated a 3 (Study or Instructional Support level). Access is provided to an extensive collection of remotely accessed electronic resources, including bibliographic tools, texts, indexes, journals, etc. The Library’s catalog is web-based and an offers an “Ask a Librarian” button on the lower right-hand of the library’s homepage that allows students to email librarians their questions.

Houston Cole Library subscribes to three subject- specific, full-text databases targeted to music. They are Classical Music Library, International Index to Music Periodicals, and Oxford Music Online. Classical Music Online offers students a way to listen to music online as well as offering a free download of the week. Classical Music Online allows students to sign-in and create their own playlists and has a wide coverage of styles from Dance and Jazz to Opera and Chamber. International Index to Music Periodicals provides indexing to full-text articles from over 380 music periodicals from 1996 onwards. This is a popular database for those students who are working on research papers and theses. Oxford Music Online also indexes a wide variety of music periodicals as well as offering wonderful reference materials from The Oxford Companion to Music and The Oxford Dictionary of Music.

Summary

Strengths:

The total holdings, conspectus evaluations, and checklist comparisons indicate that the Music Collection, which is rated a 3cP, is adequate to support the Bachelor of Arts and the Master of Arts degree. The Music Collection has grown 10% since the last assessment with a total number of titles at 22,378. The strongest areas of the collection are in the subjects: Instrumental Music (M5-1480) with 6,504 titles, an increase of 9% over the last assessment, Orchestra (M1000-1075) with 2,151 titles, an increase of 9%, Vocal Music (M1495-2199) with 4,395 titles, an increase of 9%, Choral Services, Etc. (M2010-2017.6) with 191 titles, an increase of 9%, Literature on Music (ML 1-3930) with 7,132 titles, an increase of 10%, Dictionaries and Encyclopedias with 263 titles, an increase of 9%, Popular Music (ML 3469-3541) with 316 titles, an increase of 7%, and finally, Instrumental Techniques (MT 170- 810) with 1,232 titles, an increase of 10%.

Weaknesses:

The conspectus sheets indicate that the collection could be stronger in the subjects: Librettos, Texts, and Scenarios (ML 47-54.8) with 218 titles and Composition, Elements and Techniques of Music (MT40- 67) with 202 titles.

Recommendations:

·  The Music Librarian should continue to collect at the same level, but with attention to the above mentioned areas.

·  The Librarian should maintain close ties with the music faculty and students in order that the librarian order titles which directly pertain to the classes taught and fill the needs of the students. As new classes arise, the Librarian should remember to collect in those areas to avoid gaps in the collection.

·  Internet sites should continue to be evaluated and added to the Library’s catalog. Library personnel should take every opportunity to publicize and promote the databases and resources to instructors and students.
