Hilliard Music Boosters Darby Chapter Meeting May 9, 2011
The meeting was called to order at 7:02 PM by Kathleen Nelsen, Chapter Secretary. Seven members were present and Chapter Treasurer, Bill Blackhall was present via phone. VP Dan Shuman had a prior commitment.
A motion was made by Julie Cooper and seconded by Cindy Walker to accept the minutes of the previous meeting. Motion carried.
Bill Blackhall reported that all account issues are not yet resolved although a $2,900.00 error has recently been found. The Choir had been charged for a Band expense, so it probably never had a negative balance as previously reported by corporate treasurer, except for its recent trip. All accounts need to be reviewed to focus on matching up allocations. The error was reported to President Jeff Keller and needs to be corrected on the QuickBooks side. Cindy Walker volunteered to do this and Jenny Harmon will look into the errors when she takes over the corporate books. The Choir only has $1400.00-1,500.00 left to collect before their trip at the end of the month. The distribution of Fall concession stand profit was sent to the Corporate Treasurer and awaits action from Charles Prior. The previously voted upon percentages put approximately $14,000 in the Band Director account, $2,900 in the Choir Director account, and $1,000 in the Orchestra account.
Mr. Jeremy Kozman, Darby Band director, reported that the Spring Band concert is next week, 5/18/11. Colorguard is currently auditioning. The Band will play at Darby’s graduation 5/25/11. New marchers will join the Band this month and are already entered into CHARMS. There will be 43 freshmen which means Band numbers are increasing. The Orchestra Winds will play 5/17/11. The Fall Marching Show music is arranged and will be played for the first time on final exam day. As is Darby tradition, it is a secret until then. Mr. Montgomery, Darby assistant Band Director, became a proud new father on Friday as he and his wife welcomed baby Benjamin John into their family.
Mr. Riegel, Darby Orchestra director, reported that his program is winding up with a concert on Tuesday. He appreciated all the hard work all Darby students put into the recent Spring musical, “Hello, Dolly”. The kids enjoyed it and he was pleased with their playing. The Orchestra does not have a large Senior class, so his program will not be losing many students to 2011 graduation.
In Old Business, Andrea Rhoadhouse was the Darby recipient of the Booster’s annual Anne M. Stoudt music awards at the recent Senior ceremony. The impact of the recent levy failure was discussed. The fifth grade Band and Strings programs are eliminated and one general Music elementary teacher has been rifted. Darby Band will lose two positions and there probably will be no fulltime percussion instructor. That will be filled on a supplemental basis. Transportation needs of the Music programs have not yet been addressed. Mr. Kozman will be calling a list of potential helpers to secure new volunteers. Orchestra parents will be asked to sign up via CHARMS.

Tag Day: The tentative date is 9/10. Nancy Mellot will shadow chair Jenny Harmon
Uniforms: No new uniforms are needed for this season.
Concessions: The Concessions Improvement committee has not yet met. They may do it as a webinar.
Cookie Patrol: Kathleen Nelsen will contact Bill and Laurie Street to see if they are staying on as chairs
Band Point of Contact: Mr. Kozman is seeking a new recruit for this position.
Choir /Orchestra Point of Contact: Mr. Reigel will contact Molly Rhoadhouse for next year for Choir; Bill B. will talk to Mr. Martin to find a Choir one for next year
Scrips: Julie Cooper will contact Cheryl Vassaux at Bradley to see if a Darby volunteer is needed.
Sodexho: Rob Cope will handle this for Darby next year.
Chapter officers were elected for the 2011-2012 school year. All candidates were nominated and elected unopposed. Kathleen Nelsen will serve as Secretary. Bill Blackhall nominated Cindy Walker for Treasurer who was elected unanimously for that position. Holly Beardsley and Cindy Walker nominated Bill Blackhall for Chapter VP and he was elected by all.
A Fundraising Committee was formed to be headed by Mr. Beardsley for the Band. Mr. Riegel and Mr. Martin will secure chairs for their respective programs. In this way, each program could maximize its fundraising efforts and opportunities. Mr. Kozman presented the chapter with eh 2011 Darby Band Budget draft, a detailed breakdown of item costs, quantities, and total cost for expenses and a listing of the current income. The bottom line noted that at current funding the program will be $15,250 in the red. He noted that most transpiration fees including gas are covered by the school district. The needs for 2011 include: 2 Bassoons, 2 tenors, a sound system, mouth pieces, $5,00.00 in repairs, Guard and Percussion staff, Bassoon Camp, Field Commander camp, Honor Bands, music, drill, and awards. He would like to see a budget heavy on people to work with the kids and opportunities for the kids to have outside the classroom experiences. Potential areas to cut could be Band Camp because of the fees and staff housing. Even thought the district has set aside $23,000 for new uniforms, in the near future, an additional $50,000 will be needed for their purchase.
The next meeting is schedule for the first Monday in August. A motion was made by Julie Cooper and seconded by Cindy Walker that the meeting adjourns. Motion Carried. Meeting adjourned at 8:36PM
