Job Description

JOB TITLE: Haiti Program Co-ordinator

Responsible to:Executive Director (with responsibility for Haiti)

Location:Haiti – Based at projects as required

It is important to note that the below activities cover a broad range of activities, which are not all required on a day to day basis. However, the role does require someone with the flexibility and confidence to be actively involved in the following roles at different points.

  1. Ambassador for HHA/THHT:

The HC will be expected to represent HHA/THHT at a range of meetings, and in various situations, as outlined below:

  • Main point of contact on the ground for Haiti based funding bodies, like USAID, UN etc. It is important for the HC to develop relationships with these parties, seeking new partnerships and grant opportunities, and overseeing existing relationships.
  • This will include representing Executive Director (ED) at meetings, presenting possible partnership opportunities with USAID, UN and others, and overseeing existing grants (project managing grant, reviewing and carrying out finance related audit/assessment on grants, providing narrative reports, keeping to deadlines, ensuring fulfilment of contractual obligations etc.)
  • Main point of contact for other NGO’s.
  • Main point of contact with Ministry of Health (MSPP) and other Government departments. It will be the HC’s role in the absence of ED to ensure these relationships are developing well, and that HHA/THHT remain in good standing with government departments.
  • Assisting VIP visits – showing different VIPs around hospital site.
  • General oversight – listening out for opportunities, and seeking information on developments within Haiti (for instance, new funding bodies, funding calls, political stability, laws being implemented etc)
  1. Haiti Communications:

Within this role it is expected that the HC provides regular updates for the purposes of marketing/fundraising/advocacy/ and awareness for HHA and THHT. This should be carried out through the following activities:

1: HHA and THHT Facebook: 4 – 7 entries per week with inspiring updates from the field, including photos.

2: HHA and THHT Twitter: Regular tweets for supporters. Ideally several per day, highlighting inspiring news etc.

3: HHA and THHT Blog/News:Weekly blog/news update for each website highlighting developments of projects etc.

4: Leaflets:Provide assistance to UK and US based staff who lead with communications, providing updates

when needed (for example 3 times per year) for

leaflets, annual reports, specific campaigns etc.

5: Other Communications: Aside from the above, there are also other online fundraising sites like Global Giving which require input from field workers, alongside press releases, media related interviews etc.

Aside from written skills, all of the above require photos, and when possible some films.

  1. Programme Management:

It will be the HC’s responsibility to ensure the projects running on the ground in Haiti are fulfilling the objectives/expectations of the boards of HHA and THHT.

Oversight will include:

  • Reviewing monthly data with support of UK team, to monitor projects and ensure all are fulfilling expectations
  • Meeting with Heads of Departments to problem solve, develop strategies, implement new ideas
  • Inspecting programmes both informally on day to day basis
  • Aside from the above, the HC will work closely with the ED ensuring the vision of HHA/THHT is being fulfilled on the ground. The HC will work closely on a weekly basis.

In all areas of programme management the HC will be required to report back to the ED, and discuss issues etc, and implement action points of ED/HHA/THHT boards.

The HC will work closely with the ED talking on a weekly basis.

  1. Team Leader:

The HC will be responsible for all international staff within Haiti. This will include line managing the Volunteer Coordinator.

Management will include:

  • Providing assistance and support for foreign staff, ensuring their safety, well being and spiritual health is good, watching out for signs of physical, emotional or spiritual need. For instance, stress, home sicknesses etc.
  • Ensuring team are fulfilling role objectives and living with HHA ethos and expectations.
  • Helping to establish targets and objectives, through weekly staff meetings, and representing ED and HHA/THHT boards in the development of roles etc.
  • Reviewing stability of Cap-Haitian and determining course of action (for instance evacuations, curfews etc in times of political unrest, or emergency action required for natural disasters like hurricanes.)
  • Ensure guidelines are adhered to, appointed drivers, people having at least 1 day off a week etc.
  • Supporting teams of donors and ensuring the success of the trip

The Haitian staff will also be informed that the HC will be the main point of contact for issues relating to THHT or HHA.

5. Spiritual Leadership:

It will be the Haiti Coordinators role to help ensure that the Christian ethos of HHA is upheld with integrity, following HHA’s agreed code of conduct. This applies directly to programs, volunteers and HHA representatives, in a professional and personal capacity.

6. General Other:

The HC needs to remain flexible in all areas of work and open to providing general support for the hospital. For example, whilst the HC shouldn’t be regularly involved in some hospital activities like ambulance driving, there may be occasions when this is required. These situations will need to be responded based on the HC’s personal view at a given time.
