Our Expectations for the District Directors

Also included is the GWRRA Reports document

The main objective of the District Team is the oversight of GWRRA programs within your District. The District Director, and the District Core Team Officers responsible for the various GWRRA programs, will administer, develop, and provide the opportunity for all GWRRA Members in their District to participate in GWRRA programs. The focus of the District Team is to ensure a Fun Chapter-life for our membership by providing training and instruction to our Chapter Officer Core. We incorporate the Team concept to coordinate all activities in all levels of the GWRRA Leadership. Everything we do adheres to our motto of “Friends for Fun, Safety, and Knowledge”.

The District Teams are an extension of the Regional Core Team and key to the successful implementation of all GWRRA programs. Their purpose is to provide training and instruction to our Chapter Officer Core. The District Teams have direct oversight of the group of Chapters located in their District. They work as a Team to manage the Chapters in their District, so they do have some autonomy. The Director gives the vision for the Team.

District Director…

The District Director is the point person of GWRRA within their District, one that Officers and Members within their District look toward for direction and guidance. The District Director should have good communication and people skills. The District Director’s role is that of a facilitator, a coordinator, a leader by example, and a supporting team member. Of these, the most common role is that of a coordinator.

Being a part of the District Core Team, the District Director will develop a District budget during their annual “Planning and Budget Meeting”. They are to ensure that all GWRRA Programs are financially supported and their administrative objectives are represented during the budget process. The District Treasurer will facilitate this process. The District Director will ensure that their Chapter Teams also develop an annual budget. It is important that the District Director understands that they are obligated to ensure that support is provided to ensure the success of the GWRRA Leadership Training Program, Membership Enhancement Program, and Rider Education Program. Including but not limited to; financial support, scheduled events and logistics, ensure that all Core Team Officer Positions are filled, Instructor and Presenter Training Classes are held as needed, etc… It is also important that the District Director empower their Core Team Officers allowing them to freely work with their appointing Program Directors to implement their programs, which they

are responsible for in the District. In short, when it comes to the GWRRA Programs, the District Director is obligated to support and the District Core Team Officers are responsible to implement. Don’t try to do it all yourself, it won’t work. This is a Team effort!

There will be an annual Region Team Meeting, where the District Core Team is required to attend. Discussions will focus on all GWRRA programs and any adjustments, subtractions, or additions that are needed. The results of which, will be disseminated by the District Core Team to the Chapter Core Teams at their required annual District Team Meeting. These meeting are used to ensure that everyone is on the same page and current with GWRRA policies, programs, and guidelines. The general format of these meetings is a combined audience in the morning session and then target training breakout sessions in the afternoon and a regroup for final discussion either later in the day or the following day. In each case this is a legitimate expense to the District or Chapter for the Core Team in attendance, as funds permit. The District Director should meet in advance of this meeting with their Team for the annual Budget and Planning Meeting for the District where the Director shares their goals for the coming year.

The District Director needs to be a good communicator and understand how to facilitate a Team. The District Director, and their Team, is responsible for morale, training, coaching and mentoring within their District. The Team works to promote Pride and Fun, in and to, GWRRA membership. The Team leads by example and works to motivate the Chapter leadership to do the same. The District Director will ensure that all communication coming from the Region, International Deputy Director, Director of GWRRA or International office is disseminate to the Chapter Directors and membership as directed. Further the District Director will make certain that all websites, District and Chapter reflect accurate information of Officers, locations of gatherings, contact information, etc. and that there is a link to the Region and International websites. They will link their Rider Education page to International.

The District Director needs to ensure that they are communicating with their Chapter Directors at least on a monthly basis. It is important to have free communication flow to and from the Chapter Directors. The District Director needs to be a good listener first and then a good mentor and trainer second. District Directors are to develop the leadership quality of their Chapter Directors. The review process is the District Directors tool to accomplish this development. Annually the District Director will use the “Director Review Form” to evaluate the progress of their Chapter Director’s development and set forth goals. If a Chapter Director is unable to satisfactorily accomplish these goals, this is a time for consulting or itmay suggest that a change is needed. Using this review process will ensure that a Chapter Director will never be surprised to learn that a change in leadership has been decided upon.
