Guidelines for action if students go missing: Reviewed April 2016
1. Absence during lesson-time
Teaching staff register attendance at class and promote prompt attendance to lessons. HMs register students in House who have no morning or afternoon lessons, unless they are in BP/SV and register themselves with admin staff who will contact HMs who complete their register. A student who arrives 5 minutes after the official start time of the lesson (refer to CCSS Attendance and Punctuality Policy) must be reported by the member of staff on iSAMs.
Admin staff at each building will chase a missing student as follows:
1. Contact the student’s mobile/the HMs/the tutor/the parents (for a day student)
2. Inform the DP who will assess the situation
3. If concerns continue, DP to contact the Principal if the student has not been found/contacted and will contact parents (in the case of a boarder)
4. If concerns continue, DP to contact the police for advice.
2. Absence from Trips
See Trips and Visits policy in the staff e-handbook.
3. Absence from Boarding houses
In the Boarding houses the main checks each day are:
· Mon to Fri an 8am wake-up welfare call
· Sat & Sun. 8am HM checks on students
· Mon to Fri during the day if the HMs are informed that a boarder is absent from a lesson.
· Mon to Fri 11am check if a student has no morning lessons on their timetable.
· Sat & Sun HM “student plans” checks at lunchtime.
· Mon to Fri 3.30pm check if a student has no afternoon lessons on their timetable.
· Every day HM “student plans” checks at supper time.
· Every day “Bedtime” curfew check (curfew times as in house rules and handbooks)
Procedure if a student is not registered as expected at the 8am, 11am or 3.30pm call or if a student does not contact HM during the Mon-Fri “student plans” check at 6pm.
:
1. HM will search the house (other student rooms, bathrooms and common areas), phone the student’s mobile, check with other students.
2. If student is not found, the HM will phone the Director of Boarding, who will assess the situation.
3. If concerns continue, the Director of Boarding will inform the DP who will further assess the situation.
4. If concerns continue, DP will contact the Principal if the student has not been found/contacted and will contact parents.
5. If concerns continue, HM will contact the police for advice and will liaise with DP.
Procedure if a student does not arrive back for curfew:
1. The HM will initially call the student’s mobile and check with other students.
2. If the student is not back 30 minutes after curfew, the HM will ring the Director of Boarding/Senior House Manager.
3. An hour after curfew the HM will call the Director of Boarding/Senior House Manager and make contact with parents/guardian. The Director of Boarding/Senior House Manager/DP will assess the situation and determine the point at which the local police are contacted.
Weekends
Procedure if a student if a student does not contact HM during the “student plans” check by 1.30pm
1. HM will search the house (other student rooms, bathrooms and common areas), phone the student’s mobile, check with other students.
2. If student is not found, the HM will phone the Director of Boarding, who will assess the situation.
3. If concerns continue, the Director of Boarding will inform the DP who will further assess the situation and determine contact with parents. In normal circumstances contact with parents will be as follows:
· For Under 16s Parent or Guardian will be contacted at 2pm
· For Under 18s Parent or Guardian will be contacted at 6pm.
· For Over 18s Parent or Guardian will be contacted at curfew.
4. If concerns continue, DP will contact the Principal if the student has not been found/contacted.
5. If concerns continue, HM will contact the police for advice and will liaise with DP.
Other standard weekend procedures
· Students under 18 need guardian/parental permission to go away (Fri-Sun). Notification must be received by noon on the Thursday before the weekend.
· Students over 18 may have a blanket permission from parents via email to the Director of Boarding and need to advise their House Managers if they are going away for the weekend, and leave contact details.
· Our expectation is that students will not leave the country unless they have express permission (for family events etc)
· If a student goes away and permission has not been given HM must report this to the Director of Boarding
