GUIDE PREPARATION FOR THE TECHNICAL REPORT

SUMMARY

The purpose of this document is to instruct the authors on the preparation of the Technical Reports intended to SEPOPE. Must be used the electronic file model, to be made available by the CE (Coordinating Entity), which will contain an article properly formatted according to this Guide. As a general guideline, this procedure based on CIGRÉ (1) and ABNT (2), (3). The CE of each edition of SEPOPE should prepare for approval of the CT and the CA a Guide for Preparation of Technical Reports for your event depending on the computer resources you will use, obeying, however, the guidelines of this document.

1.0 - GENERAL INSTRUCTIONS

1.1 Contents of the Technical Reports

The TR (Technical Reports) should be started with a SUMMARY of less than 100 (one hundred) words to indicate the main ideas presented in the text. A list, with up to five (5) KEY WORDS, should come immediately after the resume. These keywords should be chosen in order to characterize IT for bibliographic cataloging purposes.

Following the text, which must be started by an INTRODUCTION item and finalized by a CONCLUSION item and another one by BIBLIOGRAPHIC REFERENCES.

1.2 Introduction of the text

1.2.1 The text should:

• must be written in English, and typed in one column per page, in a single document and in accordance with the provisions of this Guide;

• documents with less than 6 (six) pages or more than 9 (nine) pages, including those used for figures and tables, will not be accepted;

• use, compulsorily, the units of the International System (SI).

1.2.2 It is the responsibility of the author of the TR to prepare the file with the text of the work in accordance with this Guide, which is properly, formatted using the Word style tool.

1.2.3 The ITs that are outside the standards established in this Guide, including using pdf, will be returned to the authors, by electronic mail, for the correct corrections, respecting the current deadlines. TRs that do not return to the Coordinating Entity (CE), also by electronic mail, will not be accepted in a timely manner.

The CE shall not be liable for such corrections.

1.3 Structure of the text

1.3.1 The text starts with SUMMARY and KEYWORDS, and divided into SECTIONS (primary, secondary, etc.), including FIGURES (drawings, graphs, maps, photographs) and TABLES, as well as footnotes and biographical data of the authors.

1.3.2 Identify the sections sequentially in Arabic numerals as follows:

1.0 - TITLE (Style - Word TITLE 1)

1.1 - (Style - Word Title 2)

1.1.1 - (Style - Word Title 3)

1.1.2 - (Style - Word Title 3)

1.2 - (Style - Title 2 of Word)

1.3 - (Style - Word Title 2)

2.0 - TITLE (Style - Word TITLE 1)

3.0 - TITLE (Style - Word TITLE 1)

where, 1.0, 2.0, 3.0 ... are the primary sections; 1.1, 1.2, 1.3 ... are the secondary sections; 1.1.1, 1.1.2 ... are the tertiary sections.

P.S: You must limit the division of the text to the tertiary sections.

1.3.3 The headings of the primary sections arecapitalized, which has already been incorporated into the TITLE 1 style.

1.3.4 The titles of the other sections, with only the first letter of the first word in capital letters, can be written:

• with the same type used to make the text, underlining the title;

• with the same type in bold, without underlining the title.

1.3.5 Throughout the text, reference to figures and tables should be made by writing the relevant word with the first capital letter: "... see Figure 1", "... see Table 2 ..."

1.3.6 The figures and tables should be inserted in the text immediately after they are first mentioned. When convenient, both figures and tables can be at the end of the text.

1.3.7 The title should be placed above the table, while the figure should be placed below it. In the case of a single table or figure, there is no need for numbering

1.3.8 The tables have titles and are designated by the word TABLE, numbered in Arabic numerals, sequentially

1.3.9 The figures do not necessarily have title and are designated by the word FIGURE and sequentially numbered in Arabic numerals. In preparation of the drawings, the Brazilian standards must be observed. The designation of parts of a figure is made by the addition from lower case letters to the figure number, separated by hyphen, beginning with letter "a", and in parentheses: FIGURE 1 - (a).

1.3.10 The footnotes are informative, being used to provide explanations, reasons, deductions, demonstrations, explanations, to draw attention to some particularities, refer to a prescription of another section with such content that its elimination does not make TRs incomplete. Their indications are made by Arabic numerals, in ascending order of appearance in the text.

1.3.11 Notes relating to a figure, table or section of the text, which contribute to the clarity of the TR (cannot be removed), should be indicated by the word "NOTE", written at the foot of the figure, table or next to the section. The width of your text cannot be greater than the figure, table or section to which it refers.

1.3.12 The figures and tables must be incorporated in the magnetic file to be sent to the CE. The Technical Report file should be generated in Microsoft® Word .DOC format.

Attention: TRs where figures and tables are presented in separate files or not embedded in the magnetic file will not be accepted.

1.3.13 The graphical quality of the TRs should be the best possible, but special care should be taken with the size of the resulting files. A final file size of less than 300 Kbytes is recommended, and works larger than 500 Kbytes will not be accepted.

1.3.14 In order to obtain a reduction of files that use images, it is recommended to use them in JPEG format (extension .jpg) in order to obtain the smallest possible file size to be sent to the EC. You must perform the image processing before attaching them to the job.

For format conversion of BMP or other JPG images, there are several softwares that can be found on download sites such as Superdownloads In our tests for defining the ideal file size, we used IRFANVIEW software. This software is free to use and can be found for download at Its use is very simple, just open the image in the original format and in the option "Save as" from the "File" menu choose the JPG format in the "Save as type" box and click the "Save" button.

If the generated image is still very large, you can use the "Resize / Resample" command in the "Image" menu and within the displayed options try to use a standard image size such as 640x480 Pixels.

We have achieved in our tests to reduce images from 1.2 Mbytes to 60 kbytes using the features described above.

P.S: The magnetic file corresponding to the TR must be sent in Microsoft® Word format and be compressed (.ZIP extension).

2.0 - BASIC INSTRUCTIONS

2.1 Final work format

The TR shall be produced in the dimensions of the A4 format (297 mm x 210 mm), obeying the dimensions indicated in Figures 1 and 2. The TR, in the standards established in this Guide, requirements for the CE, by means of by definition , up to a data limit defined by the SEPOPE Coordination.

2.2 Publishing in A4 format

2.2.1 When editing TRs, the following guidelines must be obeyed:

- The editing must be done in A4 format, using the space delimited by dotted lines, as shown in figures 1 and 2;

- The editing must be done using font Arial body 9 or Times New Roman body 10.

- Simple spacing between lines should be used;

- The edition of the text of each page must always be balanced, regardless of the presence of figures or tables.

2.2.2 Editing the first page of the TR must be done according to the indications in Figure 1; for the other pages the requirements are given in Figure 2.

2.2.3 Page numbering should be done in the center of the top margin of the page, in ascending order. The first page should not contain the number 1.

2.3 Sending TR to the Coordinating Entity - CE

The contact author is responsible for providing the CE with all the information necessary to ensure the appropriate submission and receipt and identification of the file of his TR. The CE should elaborate and disseminate to each event specific instructions on how to identify each TR and on the medium to be used for the sending of the TRs, but the TR should be sent in an editable format, accepted TRs sent in PDF format.

3.0 - TECHNICAL REPORTS NUMBERING

3.1 Technical Reports Identification

The TRs will be identified and numbered by the CE upon its receipt, according to the following code:

TXX / YY, where:

XX = the number off the Preferential Subject (PS) in which the work falls;

YY = numerical sequential identification of the Technical Report, by PS, to be started by 01.

The TR numbering, to be made by the CE, will appear on all pages and will be located in the top left or right, even or odd page (see Figure 2).

On the first page of the paper, the TR numbering will be above the location of the event.

4.0 - FIGURES AND TABLES AT THE END OF THE TEXT

In item 1.3.6 the question of including figures and tables throughout the text was addressed, within certain limitations. It is now intended to examine the positioning of figures and tables that do not fit the requirements of item 1.3.6.

4.1 Free space at the end of the text

It is recommended free space for insertion of the figure or table.

4.2 Pages with only pictures and tables

On pages containing only figures and tables, they can be placed side by side. Thus, figures and tables can,

If necessary, occupy the entire useful width of the page, respecting the margins already defined.

5.0 –COPYRIGHT ASSIGMENT AND CHECKLIST

Prior to the Technical Report submission, by means of being defined by the CE, the author of contact will be requested the Term of Assignment of Copyright (Attachment III) of his article to CIGRÉ-Brazil for publication in the Annals of the Seminar, in the Revista EletroEvolução e in the CIGRÉ-Brasil Portal, as well as the presentation of TR. The Form referring to the Term of Assignment of Copyrights (Attachment III) will be made available by the CE, at the event site, for completion and printing, which should be duly signed by the contact author, should be sent by electronic means to the Coordinating Entity. The CE must verify that all contact authors of the TRs have submitted their respective Copyright Assignment Terms, so that at the end of the event, all of them may be made available to CIGRÉ-Brasil.

6.0 - BIBLIOGRAPHY

The bibliography should be typed in the following format:

7.0 - BIOGRAPHICAL DATA

7.1. Data contents

Biographical data are mandatory in TR, and must include the following information:

- Name;

- Place and year of birth;

- Location and year of graduation / post-graduation;

- Professional experience (titles, publications, awards, areas of expertise)

7.2. Data format

They should be limited to 10 (ten) lines per author in a format equal to the rest of the TR text , and may, at the discretion of the authors, contain only the data of the contact author or all authors. Based on the authors' data, TR may exceptionally be 9 (nine) pages, with 8 (eight) pages for TR and 1 (one) page for biographical data.

Biographical data, which are optional in TR, should include the following information:

• name;

• place and year of birth;

• place and year of graduation / post-graduation;

• professional experience (titles, publications, awards, areas of expertise).

7.3. Photo inclusion

Optional digitized photos of the authors may be included, but the photo of the contact author is mandatory.

NOTES (FIGURES 1 and 2)

1. Field 1 (see Figure 1) will be completed exclusively by the Coordinating Entity and will consist of the logo and name of the Seminar, Technical Report number, place and date of accomplishment.

2. Field 2 (see Figure 1) must be completed by the author with the following information in bold capital letters:

a - number, name and acronym of the Study Group in which the Technical Report is framed, according to the SEPOPE Regulation. This information should be written in capital letters in bold and should be left margin as shown in Figure 1;

b - title of the Technical Report. This information should be capitalized and centralized as shown in Figure 1;

c - title of the Technical Report. This information should be capitalized and centralized as shown in Figure 1;

d - in the case of TR elaborated with a large number of authors, especially those developed by Working Groups, it is recommended that this field only indicate the name of the Contact Author. At the end of the TR text, the name of the Working Group and the complete list of its members should be indicated.

3. The contact author's address, telephone number, fax number, and e-mail should be placed at the bottom of the first page only.

4. The text should start at the top of each column, with no indentation.

5. The symbol (..) means the point where the Technical Report numbering should be on the odd pages and the symbol (...), on the even-numbered pages, which will be provided by the Coordinating Entity (see Figure 2).

ATTACHMENT III

COPYRIGHT ASSIGNMENT

The TERM OF COPYRIGHT ASSIGNMENT, then, completed and signed, MUST accompany each Technical Report for submission to SEPOPE.

If the Technical Report has more than one author, the assignment of rights will be made through the signature of the quoted Term only by the Contact Author, who is obliged to give notice to obtain the consent of the other authors for their act.

It is the guideline of CIGRÉ-Brasil, as an entity that promotes SEPOPE, to make efforts to use the copyrights assigned to it, preserve the interests of the authors of the Technical Reports, their Entities and CIGRÉ- Brazil.

If CIGRÉ-Brasil intends to publish, partially a Technical Report, in addition to the specific COPYRIGHT ASSIGNMENT, a new authorization of the Contact Author will be requested.

If a Technical Report is rejected, your TERM OF COPYRIGHT ASSIGNMENT will automatically become null and void.
