In February 2006 OCLC completed their migration of local holdings data to a new platform and provided GOLD users a new tool kit for the provision and display of serials volume and issue specific holdings and inventory. This scenario coupled with the continued suspension of updates to the Georgia Libraries Journals List (GOLD) databasemakes it more important than ever that you take the time to track and report the GOLD updates your institution made via OCLC during Calendar Year 2009. Yes it is that time of year again! Your “Statement of Compliance” must be returned to the Georgia Public Library Service no later than July 1, 2010.

The continued availability of GOLD member holdings within databases accessible to borrowing libraries and end-users, and the linking of serials local holdings to multiple sources available through GALILEO, necessitate that we monitor the accuracy, currency and quality of both bibliographic and union listing/serials local holdings data. If traditional on-going deletion and/or addition of monographic and serial bibliographic holdings are done at least annually, either on-line using OCLC or submitted by batchload, then these holding changes reflect upward to both the OCLC WorldCat and GeorgiaCat databases. As stated in the GOLD Membership Requirements and Responsibilities, all GOLD member libraries should be in compliance with the following requirement:

GOLD members shall update holdings at least once a year to reflect materials acquired during that year, delete monographic and serials bibliographic records as needed to maintain their accuracy, and update local data records (e.g. local holdings records – 2/19/06) by adding new subscriptions and issues, closing out canceled subscriptions, and deleting records for discarded issues on at least a yearly basis.

The following dates are to serve as reminders of GOLD Compliance Procedures schedules:

*December 31, 2009– / *March/April, 2010– / *July 1, 2010–
OCLC updating cutoff date for the GOLD Serials Union List to be loaded on GALILEO; / GPLS will distribute the “Statement of Compliance with GOLD Database Updating Requirements” to all GOLD member libraries; / Deadline for return of completed response of “Statement of Compliance with GOLD Database Updating Requirements” to GPLS.
*Bib & serial datachanges completed on/after 9/1/2005 will be reflected via GALILEO in WorldCat/GeorgiaCat until the Georgia Libraries Journals List resumes. OCLC says this off-line sub service will not resume until July 2011. / *Enclosed- Please note distribution was delayed this year until June 2010. / *Compliance is measured by return of the form. If updating is not complete for calendar year 2009by June 30, 2010, please explain in the space provided on the form.
