Memphis PMI Chapter Board Meeting Minutes

Date of meeting: March 26, 2012

Attendees: Sidd Kunche, Aimee Sufka, Phyllis Slaughter, Chandy Littlejohn, Karen Stewart, Mike Fulton, Vaughan Dewar, Laura Beth Matson

Note:All action items from the meeting are also copied into an ongoing board member action-items Excel sheet to be tracked monthly for closure.

Chandy Littlejohn, President

General Business

  • The meeting minutes provided by Laura Beth Matson were approved by 6 Yes votes and 2 Abstain votes. The minutes will now be published on the PMI Memphis website.
  • Chandy sent the Board a copy of the updated PMI Memphis By-Laws. She would like everyone to review them and be prepared to vote on them via a scheduled special session conference call.

Upcoming Conferences

  • We are co-sponsoring Region 14 Conference with Nashville Chapter. It will be held at theDowntown Marriot in Nashville May 4-6. A list of the Memphis attendees has been provided. The Memphis Board attendees will be staying at the Marriott and will determine the travel logistics as the date nears. The Board attendees will be expected to volunteer for the event. Some of the volunteer needs are for registration, etc. Chandy will meet with Karen to discuss the budget for the conference within the next 2 weeks.

Vaughan Dewar, VP Public Relations

Awards and Advertising

  • The Board approved for Vaughan to print approximately 2500 flyers as promotional materials for the Memphis PMI Chapter.
  • Vaughan will create an SOW in order to commission a professional writer who can work on the U of M Alliance. The SOW will be reviewed by the Board and voted on via a scheduled special session conference call.

Vaughan would also like to put together a package on “How to Join PMI and Obtain Certification”. He will be using the Jan Spears presentation to put together a 2 or 3 page excerpt on this topic.

  • The Board also discussed the idea of sponsoring a project management high school competition for grades K-12. PMI Global has up to $10,000 in grant money for this type of effort. Chandy will provide Vaughan with the PMI educational liaison information so that he can make contact and understand the details of the grant.
  • The Board also discussed possibilities of cultivating relationships with PM recruiters which may lead to sponsorships, etc. The Board will continue to discuss this as it relates to PDD, website sponsor logos and website/newsletter job postings.
  • The Board unanimously approved moving forward with recognizing 2 specific volunteers with a “Passion In Pursuit Of PMI Education”award.

Karen Stewart, VP of Finance

Financial Matters

  • Karen will send out the budget details this week to the Board.
  • She has spoken to our tax advisor regarding our taxes that must be completed during the month of May.
  • The Board also discussed the protocol that needs to be established for the upcoming PM Board conferences to Nashville and Canada. All Board members who attend the conferences should plan on continuing on the Board.

Aimee Sufka, VP of Membership

Membership Update

  • Our chapter has had a slight increase in membership. We currently have 482 members.
  • Aimee will continue in developing a membership questionnaire to place on the tables at an upcoming PMI meeting.
  • Aimee and Chandy will talk to Bill Grabatt regarding the creation of a chapter membership survey. This year we would like to include questions regarding alternate meeting dates/times.
  • Aimee also mentioned that there is a Memphis career transition group that meets regularly. Our chapter can market PMI to this group which might lead to an influx of new members.
  • The Board discussed the fact that we have 322 prospects for the membership meeting passes and only 20 passes. The Board suggested that we make the 20 passes available on a first come – first serve basis for the first 20 prospects.
  • Aimee discussed that she will spend her efforts in establishing a new member orientation process and the mentoring efforts that were discussed in our last Board meeting will be placed on hold until the new member orientation has been completed.
  • The CBU MBA program has reached out to several Board members to solicit information related to our chapter regarding PMI members. The Board decided that we would not publish any names or address information to CBU but instead, we would offer them the ability to include information on our website relative to the program as part of a sponsorship. In addition, they should be allowed to attend our meetings and make an announcement regarding their programs.

Sidd Kunche, VP of Communications

PMI Memphis Website

  • Sidd was able to speak with the webmaster for the DC chapter. They currently outsourced the creation and maintenance of their site. Initially, the vendor charged $2000-5000 for the website creation. The vendor will also charge $300-500 per month for ongoing maintenance.
  • The Board requested that Sidd create an FAQ section on the site. This led to a conversation regarding the difficulty of maintaining the site. Sidd needs to have some volunteers assist him with maintaining the current site.
  • Sidd also requested that the Board establish a well-defined policy regarding advertising on our site. Details of this policy should include the size of the banner, font, etc.

Mike Fulton, VP of Education

Education/Class Events

  • The PMP class is now finished. One student who attended the class has already been certified.
  • The Agile class creation is underway and the team led by Scott Barnes is making progress on the class content and materials.

Phyllis Slaughter, VP of Special Events

Upcoming Events

  • Phyllis reviewed the PDD budget with the Board. Chandy would like to discuss this further with her and then the budget will be approved via a scheduled special session conference call.
  • We also discussed the upcoming Job Fair that will be sponsored by the Memphis PMI Chapter. Phyllis is planning on using CVENT to send out “Save-the-Date” reminders to companies that may potentially attend. The Job Fair will be a partnership with the University of Memphis and is scheduled for 6/2.
