Girls Volleyball Team Committee Responsibilities

WELCOME TO THE 2011

STATE COLLEGE GIRLS’ VOLLEYBALL TEAM!

Enclosed you will find pertinent information for the season.

• Team Pictures will be taken on Monday, August 29thbefore practice. Everyone should be at the school at 2:15pm. Chuck Fong will be photographing the team beginning at 2:30. He will take several different group photos as well as individual photos. He will place all pictures taken on a website which we will email to you along with a password to access the volleyball pictures. If you wish to order any pictures, you can order individual pictures or packages. Purchasing pictures is completely optional.

Photos arrangements will include: individuals, full team, Varsity, JV, class groupings (i.e. Senior, Junior, Sophomore, Freshman), and friend/sibling groupings (if requested by players).

• The Annual Potluck Pasta Dinner and General Booster Club Meeting will be held on Thursday, August 25, 2011 in the North Building interior courtyard. The meeting will begin at 5:30pm with the dinner to follow. Please sign up for your family at:
• Optional Clothing Order Formswill be sent separately via e-mail. Orders with payments are due at the Potluck Picnic on Thursday, August 25th. Checks should be made payable to SC Girls’ Volleyball Booster Club.
• Committees for the SCGVB Booster Club We need everyone’s help throughout the season. Please signup to help on a committee at:

• Home Game Concession Stands are a great fundraiser for our booster club. Please signup for to volunteer your time for the home game concession stand at: and to donate food for the home game concession stand at:
• If you prefer, you can also bring your calendar to the potluck dinner and sign up for committees and volunteer time then.
• Membership Dues are due at the Potluck Picnic on Thursday, August 25th. Please complete and hand in the enclosed Membership Form with payment. Checks should be made payable to SC Girls’ Volleyball Booster Club.
• Sponsorships: New Changes. Help support the volleyball team by becoming a sponsor. There are different levels of sponsorship - your family, extended family, friends, and/or local businesses can become a sponsor. See the enclosed Membership and Sponsorship forms for more information. We are asking that each team member sells at least one sponsorship so we can meet our team’s needs this season.
• Proposed 2011-2012 Budget and changes to the Booster Club Bylaws: These will e-mailed to you for review. They will be voted upon at the Annual Potluck Pasta Dinner and General Booster Club Meeting on August 25, 2011.

POTLUCK PASTA DINNER & BOOSTER CLUB MEETING

THURSDAY, AUGUST 25, 2011

AT 5:30 PM

IN THE NORTH BUILDING COURTYARD

We will have our Booster Club General Meeting and Potluck Pasta Dinner for the 2011 season with all the parents, players, and coaches. The meeting will be held first beginning at 5:30pm to discuss the upcoming season, followed by coach and player introductions, and then the dinner.

What should you bring?

Go to sign up to bring a dinner item to share.

All dishes should be enough to serve at least 8 to 10 people.

Paper products, plastic ware, and drinks will be provided.

Please bring your calendar to the meeting.This is our one and only organizational meeting prior to the start of the season. If you have not already gone on line to sign up for committees, food donations for the concession stands, and working the concession stand at home matches and the SC Invitational Tournament, you can do so then.

State College Girls’ Volleyball Team Committee Responsibilities

• Banquet Committee: Responsible for organizing the end of season banquet. This year the banquet will be held at the Atherton Hotel. Responsibilities include: choosing the menu with 3 entrée choices (normally chicken, beef or fish and a vegetarian option), decorations, coordinating program with the Coach, ordering blankets for Seniors and gifts for coaches. (Quality maroon blankets can be purchased through Rosewood Silk-screening. Blankets get embroidered with “State College Girls Volleyball Team”, Player Name, Graduation year 2012 for this year and player’s position). In the past, each player received a framed team picture at the banquet. You can also buy letters from the athletic dept ($5.00 each) to be sewn on the blanket.
• Pre-game Meal Coordinators: Responsible for ordering food and delivery prior to all home and away matches. Create list for girls to place their orders from the vendor such as Subway.
• Senior Night Committee: Responsible for organizing Senior Night activities, including: Senior introductions, reception following the game, gifts for Seniors, coordinating with the Program Committee for special program or insert.
• Concession Committee: Organizes the concession stand during home games and the SC Invitational home tournament. Responsibilities include: set up and clean up (with concession volunteers), purchasing and organizing food and drinks to sell, organizing donations of baked goods and crock pot items (i.e. chili, mac & cheese, soups, sloppy joes, meatball sandwiches, taco meat for walking tacos) to sell, arranging the schedule of volunteers (Varsity parents work JV game, JV parents work Varsity game), coordination of money with the Treasurer.
• Optional Clothing/Apparel Coordinators:Selection of clothing options, organizes clothing orders, and delivery of optional clothing to the players.
• Homecoming Float Committee: Works with the team on the design and construction of the Homecoming Float including the transportation and music. Must register to have float in parade (form online). Homecoming Parade this year will be Thursday, October 20, 2011.
• Program Committee: Designs the program used during home games, senior night, and end of season banquet. Includes rosters, pictures of teams, coaches, and managers. May sell ads to support the production of the program and lists sponsors of the team.
• Team Video/Game Photography: Creates a video with clips from the season to give the girls at the banquet and photos that may be used for publicity.
• Tournament T-shirt Coordinator: Responsible for coordinating the design, silk printing, and selling of the tournament T-shirts at the SC Invitational on Oct. 2nd.
• Car Wash Fundraiser Coordinator: Coordinate this player chosen fundraiser, including publicity, location of car wash, and collection of money to be given to the Treasurer.
• 50/50 Raffle Coordinator: Coordinate the selling of raffle tickets before and during JV match and the first 2 Varsity games/sets. Drawing and announcing of winning ticket.

The 2011-2012 membership dues are $150 per family and each additional player per family is $75. Please pay by August 25, 2011. Thank you for your support!!

Dues from each family can be refunded by selling a sponsorship for our program. A ¼ page ad will refund $100 of your dues and a larger ad will refund all of your membership dues.
