EXHIBITOR DETAILS

Thank you for your interest in the New England Society of Plastic and Reconstructive Surgeons 57th Annual Meeting!

This document contains all the details regarding your exhibit table and the exhibit area.

For information regarding the hotel, hotel accommodations, the Preliminary Program, the functions for the weekend, attire, and much, much more, please review the ‘General Information from Charlotte’.

The Exhibit Fee covers your exhibit table for 2 adults and all of the functions for the weekend (Friday Night Welcome Reception, Friday Night Dinner Buffet, Saturday Morning ‘Breakfast with the Exhibitors’, Saturday Coffee Break, Sunday Morning ‘Breakfast with the Exhibitors’, and Sunday Coffee Break). The Exhibit Fee DOES NOT cover the Saturday Night Mount Jefferson Formal Dinner. The charge for the Saturday Night Mount Jefferson Formal Dinner is $150.00 per adult. Please see the ‘Exhibitor Registration Form’ for fees for your guest(s) and children.

If you have been a prior exhibitor at the New England Society meeting, you already know that you get great exposure at this meeting, in and out of the exhibit area. Print out the Exhibitor Registration Form, which is available on this website, complete it and fax your form if paying by credit card to Charlotte at 603-880-6660. If your payment is coming as a check from the Corporate office, please indicate that information on your form before faxing it to Charlotte at 603-880-6660, so that table selections can be made.

IMPORTANT: Do not wait to fax your completed Exhibitor Registration Form. If you want to reserve a table, Charlotte needs to receive your registration form as soon as possible. When Charlotte receives your registration form, she will send you an email reply, confirming that it has been received and your table has been reserved. If Charlotte does not send you a reply, your registration form has NOT been received and your table has NOT been reserved!

Please Note- Tables will be assigned on a ‘first come, first served’ basis.

If there will be more than one representative at the meeting, it is important to list the ‘Contact Representative’ first and indicate their email and best phone number (cell or office). The Contact Representative will be the one receiving all confirmations for payment receipt and table selection, or if there are any questions.

MEETING REGISTRATION – EXHIBITORS

There are 2 Levels for Exhibit Tables for this year’s meeting. Exhibit Tables will be located in the Adams Room and around the Perimeter of the Presidential Foyer. Please review the Exhibit Floor Plans, located at the end of this document, for table locations and room layout.

There are 6 tables available at the rate of $1,800.00 – Tables 4, 5, 6, 11, 12, and 13. On both Saturday and Sunday mornings, there will be the ‘Breakfast with the Exhibitors’ and the Coffee Breaks. Please review the Schedule of Events for the exact times of these events.

The remaining 19 tables are available at the rate of $1,300.00 – Tables 1, 2, 3, 7, 8, 9, 10, 14, 15, 16, 17, 18, 19, 20, 21, 22, 23, 24 and 25. Whichever table you select, the applicable exhibitor fee still covers your table and all of the functions for 2 adults only (usually 1 exhibitor and his/her spouse/guest) or only 2 exhibitors, EXCEPT for the Saturday Night Mount Jefferson Formal Dinner. The charge for the Saturday Night Mount Jefferson Formal Dinner is $150.00 per adult. Please see the ‘Exhibitor Registration Form’ for fees for your guest(s) and children.

EXHIBITOR FLOOR PLAN

Please review the Exhibitor Floor Plans below. The BLUE tables are $1,800.00. The YELLOW tables are $1,300.00.

The Scientific Session will take place in the Monroe & Madison Rooms.

We suggest that you print out, or have available, both floor plans in order to select your 1st and 2nd choice for your exhibit table. Indicate your choices on the Exhibitor Registration Form. In your covering fax sheet or email message, please indicate 1 or 2 companies who are your competitors, so that, if necessary, your table selection/placement can be adjusted accordingly.

REGISTER EARLY so that you have lots of choices when selecting your exhibit table.

ROOM LOCATION

The exhibit tables will be set up in the Presidential Foyer and the Adams Room, beginning early on Saturday morning.

Exhibitors will find a place card on each table with their company’s name, reserving their table.

Exhibitor set up will be on Saturday morning beginning at 5:30AM.

Breakfast with the Exhibitors begins at 6:00AM on Saturday morning and at 6:30AM on Sunday morning.

Exhibitors will also have a 30-minute Coffee Break on both Saturday and Sunday mornings.

All attendees will be directed to the Presidential Foyer and the Adams Room for the Breakfasts and the Coffee Breaks.

The New England Society will again list all Exhibitors registering early on the inside front cover of the 2016 Program/Roster Book. We hope to see your name there!

BOOTH / TABLE DESCRIPTION

Each exhibit table is a draped 30” x 8’ tables with an accompanying chair (or 2 if needed). There is no pipe and drape. Please refer to the Schedule of Events for an overview of the weekend and exhibit times.

EXHIBITOR SET UP

The Presidential Foyer and the Adams Room will not be available on Friday evening for set up. The exhibit tables will be set up early on Saturday morning. Place cards will be on each table with your company’s name on your reserved table. Set up time will begin early at 5:30AM.

MEETING OVERVIEW

The Schedule of Events will give you an overview of the weekend and the times the exhibit area will be open to all attendees. It can be found on the back of the Program/Roster book that you will receive when you check in at the Registration Desk.

All exhibitors will receive a list of attendees along with the Program/Roster book on Saturday morning, after you have signed in at the Registration Desk

MEETING REGISTRATION DESK

On Friday night, beginning at 6:30PM, the Registration Desk will be located on the South Veranda during the Welcome Reception.

The meeting will take place in the Presidential Conference Center Wing.

On Saturday morning, the Registration Desk will be in the Presidential Foyer as you come through the Garden Corridor Entrance from the main hotel.

For both Saturday and Sunday mornings – Registration will begin at 6:00AM in the Presidential Foyer.

BADGES

Badges may be picked up at the Registration Desk either on Friday Night after 6:30PM, on the South Veranda, or Saturday morning, beginning at 6:00AM at the Registration Desk in the Presidential Foyer.

WELCOME RECEPTION & DINNER BUFFET

The Friday Night Welcome Reception is from 6:30PM – 7:30PM on the South Veranda, with the traditional Dinner Buffet immediately following the Reception, from 7:30PM to 10:00PM.

This event is open to all Members, Guests, and Exhibitors.

BREAKFAST WITH THE EXHIBITORS

Breakfast with the Exhibitors will be in the Adams Room and the Presidential Foyer in the Presidential Conference Center Wing on both Saturday and Sunday mornings from 6:00AM – 7:00AM. This is a great opportunity for everyone to meet all of the vendors.

All spouses are welcome to attend.

ELECTRICAL / TELEPHONE EQUIPMENT

Exhibitors requiring electrical, telephone or internet connections, MUST request these services

in advance directly with Charlotte. The charge for the electrical cable is $30.00. Charlotte and Brian

will coordinate your request with the Omni Mount Washington Hotel. Please email or call Charlotte directly.

EXHIBIT SET-UP and BREAKDOWN

Exhibitors will have access to the exhibit area, in the Presidential Foyer and the Adams Rooms early on Saturday morning, June 11th. Place cards will be on each table with your company’s name on your reserved table.

Exhibitor set up will be on Saturday morning beginning at 5:30AM. Breakfast with the Exhibitors begins at 6:00AM on Saturday morning and 6:00AM on Sunday morning.

Please refer to the Schedule of Events for times. At the end of the meeting on Sunday early afternoon, all of your exhibit materials must be boxed up and ready for shipment. You may leave your materials in by your exhibit table, with the proper shipping documents attached.

Please make sure that you bring your airbill (or two) for your return shipment. You will be responsible

for contacting your carrier to have your boxes picked up on Monday morning.

PRE-SHIPPING MATERIALS

As with all small resorts, the Omni Mount Washington Hotel has limited storage capacity. Exhibitors should

ship their meeting materials no earlier than Thursday, June 9th to the following address,making sure that

your company’s representative’s name is part of the shipping address:

Exhibitors are responsible for the return shipping on all packages and boxes.

“The Exhibitor assumes the entire responsibility and liability for losses, damages, and claims arising out of exhibitor’s activities on the Hotel premises and will indemnify, defend, and hold harmless the Hotel, its owner and its management company, as well as their respective agents, servants, and employees form any and all such losses, damages, and claims.”
