Job aim / To administer and manage projects within the Nuffield Research Placements programme
Resources / No direct line management, but task-manages some time of the Science Education Administrator
Budget: While overall responsibility for the programme budget rests with the Programme Head, this role will include sign off for payments up to an agreed level. The role also involves taking an active part in implementing and monitoring the programme’s budget within agreed parameters.
Responsibilities (ideally a maximum of 8 key responsibilities)
Including but not limited to:
  1. General administration of the programme

  • Ensure the Nuffield Research Placements programme is set up, managed and maintained effectively. Manage the day to day administrative work for the programme, to include overseeing the development and implementation of the online data management system.
  • Allocate and oversee the work of the Nuffield Research Placements administrator, and supervise temporary assistance as required
  • Manage the work of regional coordinators (contracts, allocation of placements, feedback of monitoring data, answering queries)
  • Resolve operational problems for the programme
  • Help to set up, manage and monitor partnership agreements for the programme
  • Agree policy and strategy with the Programme Head and assist on all aspects of the programme
  • Assist and contribute to the evaluation and reporting of the programme (including pilots ) to Senior Management, Trustees and external partners

  1. External liaisons

  • Represent the Foundation at external events
  • Act as the first point of contact for a range of partners, including the Regional Coordinators
  • Establish and develop relationships with new project providers to support the work of the Regional Coordinators
  • Liaise with scientists, programme partners, co-fundersand other contributors

  1. Maintenance of programme literature, communications and marketing

  • Review and republish all programme literature annually
  • Develop new materials where required
  • Communicate information about the programme to stakeholders
  • Keep the programme’s sections of the website up-to-date, working with the Communications Manager to ensure web content is relevant, interesting and engaging
  • Produce first drafts of paperwork, contracts, communications and reports for the programme

  1. Financial control

  • Monitor the programme’s budget, contracting, and initiate prompt payment of grants and invoices, as well as claiming income from other funders

  1. General office administration

  • Arrange and minute meetings and events where required

Person specification
Experience
(may include experience of working in a particular role, with particular groups of people, with particular software or systems, team management, budget management, resources management, project management, management of third parties).
At least two years relevant office/administrative experience
Experience of overseeing and supervising the work of others (e.g. small team, consultants, freelancers and subcontractors)
Liaising and maintaining relationships with external key stakeholders and partners
Experience of administering and monitoring budget
Knowledge and Skills
(may include academic requirements, knowledge of policy making/policy areas, knowledge of specific industries/sectors, IT skills, literacy, numeracy and communication skills).
Excellent administration and time management skills
Good literacy and numeracy skills
An ability to communicate well, both orally and in writing, and to draft correspondence without supervision
Confident IT skills (to include Microsoft Office, spreadsheets, databases, content management systems and online software such as Survey Monkey) with a willingness to develop and upgrade IT skills as needed
An ability to work to independently and to a high level of accuracy
Knowledge and awareness of post-16 education in science, technology, engineering and maths (STEM) and other relevant STEM initiatives
