Planning Checklist

A / CHECKLIST – LARGE EVENT / PUBLIC VENUE
  1. Contact your local Community Fundraiser to tell them about your event

  1. Book Venue

  1. Check access to:
Kitchen
Toilets
Power/ water supply
  1. Transport/ parking arrangements

  1. Public liability Insurance – is the venue covered?

  1. Invite VIP guests

  1. Promote your event – posters, flyers, social media

  1. Registration
For a big sleep or challenge event we recommend you ask people to register in advance and get signed parental consent for under-18s. Bring the registration list with you on the da.
  1. Sponsored Events
Make sure all participants have a sponsorship form or set up an online fundraising page
  1. Risk Assessment
Carry out a risk assessment at the venue – a form is enclosed
  1. Arrange refreshments
Ask a local store/supermarket to donate food e.g. cup a soups
  1. Timetable
Plan your event and any additional activities/games/competitions
  1. Volunteers
Make sure you have enough people to help out with setting up, refreshments etc
  1. Get equipment ready

  1. Getting Local Media involved

  1. After the event – contact your Community Fundraiser to pay in sponsorship money.

B / CHECKLIST – SMALL EVENT/ PRIVATE VENUE
  1. Contact your local Community Fundraiser to tell them about your event

  1. Book a date

  1. Invite your guests

  1. Tell everyone what to bring

  1. Plan activities/ games/ competitions for the evening

  1. Plan refreshments

  1. If you are planning to be outside e.g. a big sleep in your garden, alert your neighbours (or invite them along!)

  1. Make sure everyone has a sponsorship form or online fundraising page

  1. After the event – contact your Community Fundraiser to pay in sponsorship money.
