Position Summary:Under the direct supervision of the Expo Manager, the Administrative Assistant is involved in the performance of various office duties as well as secretarial and receptionist tasks of medium complexity and variety,assist in event planning and production, and event supervision.

Essential Function Statement(s)

  • Pass a post offer/ pre employment drug screen
  • Composes letters for Expo Manager.
  • Assist in grant research and application.
  • Coordinate with the public and give facility tours.
  • Types forms, letters, invoices, vouchers, statements, records, reports and similar materials from rough drafts.
  • Maintains files of correspondence, forms, reports, and other materials.
  • Collects and assembles work project reports.
  • Assist with event planning and production.
  • Answers telephone and takes messages.
  • Schedules appointments for Expo Manager.
  • Assists in answering public inquiries.
  • Collects, opens, and distributes mail.
  • Assist with event scheduling and required paperwork.
  • Makes arithmetic calculations of medium complexity.
  • Records expenditure records in paper and computerized format.

MARGINAL FUNCTIONS

  • Other related duties as necessary or required.
  • Assist in the set up and tear down of drapes and other facility equipment
  • Organize special events and receptions.

SKILLS & ABILITIES

Experience: More than two years of secretarial/administrative assistant experience, including the use of word-processing and related types of equipment.

Education: High School diploma or equivalent is required.

Skills: Strong grammar skill including the ability to proofread others writing. Employee must have the ability to operate personal computer, typewriter, copy machine, calculator, and other related office machines. Good interpersonal communication skills, written communication skills and organizational skills.

Problem Solving: Problem solving in this position relates to the setting of priorities; the proper handling of citizen complaints; thinking ahead and working through a variety of scenarios.

Decision Making: Frequent decision making is required to determine the best method of disseminating information presented.

Accountability: Employee is not responsible for budgetary control of the department and does not participate in the annual budget process.

Supervision: Requires some supervision. Job assignments occasionally reviewed by supervisor; this position does not have supervisory responsibilities.

Personal Relations: Continual contact with county employees and the general public.

Working Conditions: Some physical effort is required. Occasional evenings and weekends will be required as well as some exposure to weather conditions.
