Fun ‘N Sun Committee – Minutes for September 16, 2014

1.0 Roll Call & Agenda Review & Antitrust Reminder

The meeting was called to order at approximately 1:35. There were no amendments to the agenda and LoBue reviewed the antitrust policies, noting that they apply to committee meetings.

2.0 Review 2013 Event & Details for 2015 Event

The committee reviewed details of 2013 Fun ‘N Sun event:

·  Budget vs. Actual

·  Program (what it would look like if same as 2013…)

·  Survey Results

·  2015 event:

o  Dates – July 29 – August 1, 2105

o  Venue – Monterey Marriott & Conference Center

o  Task Calendar – omitted from materials; Monnaie sent via email

3.0 Decisions for 2015 Event

A.  Event Theme – Historically, this event has had a theme for each year.
The committee agreed that this next event should also have a “theme”. There were some suggestions, but it was agreed that Monnaie would send a list of previous Fun ‘N Sun themes. We also agreed that committee members should each generate a couple of suggestions before the committee call and share them via email.

B.  Grower Xpedition (farm tours) – The committee considers this “a must”! The following farms were mentioned, but it was decided to take the following steps:

1.  Monnaie to send a list of farms in the greater Monterey area to the committee for vetting;

2.  Those farms deemed close enough to be feasible to include on a single day of farm tours will receive an email soliciting their interest to be considered for the tour;

3.  Committee will ultimately decide which farms will be included;

4.  If necessary, two days can be scheduled for farm tours.

5.  Additionally – it was agreed to have a “farm hosted lunch” at Kitayama Brothers in Watsonville; KB farms can cover some of the costs of the hosted lunch, but the event will require additional sponsorship.

C.  Golf Tournament – A tournament is popular and likely expected in such a “golf region” as the Monterey. It was agreed to ask Rick and Jeff, our two FedEx sales representatives to assist in the selection of a local course and how to set up the tournament.

D.  Other topics:

1.  Kim Kudo is available to support the event as a compensated contractor. LoBue mentioned several areas of support:

i.  Coordinating the Farm Tour

ii. Soliciting flowers before the event

iii.  Post (flower) donation program
LoBue stated that Kudo’s offer should be reported to the Board given Kudo’s current position on the board and as an officer.

4.0 Next Telecon & Adjourn

The next call was set for Wednesday, October 8, from 1:30 – 2:30. The meeting was adjourned at 1:30.
