Administrator

Post:Memberships Administrator (Fixed Term Contract 9 months with scope to become permanent)

Responsible to:Managing Director - FosterTalk

Location:Bromsgrove

Salary:To be negotiated (band 16-20K pa)

Hours:35 hours per week minimum

Outline of Main Duties

  1. To deal with telephone enquiries into the company efficiently and effectively
  2. To deal with all email enquiries into FosterTalk efficiently and effectively
  3. To update the company CRM/database with all incoming and outgoing communications
  4. Deal with incoming and outgoing mail and keep appropriate records
  5. Manage the FosterTalk memberships administration including company database to ensure all information is up-to-date and accurate
  6. To ensure that all memberships subscriptions are logged onto the company invoice log
  7. To undertake all duties with the utmost attention to data protection and to maintain confidentiality at all times
  8. Produce professional written correspondence in the form of letters and emails
  9. To support all team members by undertaking general administrative tasks including: word processing/typing letters, photocopying, filing and producing reports as required and ensure documents are produced accurately and in the correct format
  10. To support the company Health & Safety management systems and keep regular records as required.
  11. To support the team on events and in promoting the services of FosterTalk as and when required
  12. To be responsible for the ordering of company supplies and equipment
  13. To assist in the ongoing development of company systems and processes including development of the company literature, database and website
  14. To promote the business of FosterTalk at every opportunity
  15. Work to deadlines and respond in a flexible way to the changing demands of FosterTalk work
  16. Monitor own workload to ensure targets are met
  17. Develop product knowledge and improve performance and credibility of calls regarding the services of FosterTalk including the use by members of the FosterTalk website
  18. To attend and participate in team meetings and training courses punctually and well prepared and take minutes as appropriate and when required.

ADDITIONAL DUTIES:

It is the nature of work of FosterTalk that tasks and responsibilities are, in many circumstances, unpredictable and varied. All staff are, therefore, expected to work in a flexible way when the occasion arises where tasks which are not specifically covered in the Job Description have to be undertaken.

MISCELLANEOUS

  • Due to the nature of the work, it will be necessary for the post holder to undertake an enhanced CRB (Criminal Records Bureau). Any offer of employment will be subject to a satisfactory CRB check and references.
  • The post holder will be expected to demonstrate that the Company’s Values are at the centre of all they do.
  • The post holder will be expected to undertake training and development deemed necessary for the pursuance of the post.
  • The post holder will be expected to demonstrate an excellent standard of I.T. competence to be able to use company electronic systems effectively.

  • The post holder will be expected to comply with the no smoking policy in place and ensure that Health and Safety is observed in the course of employment.
  • Ensuring compliance with safeguarding procedures, throughout all work within the company, keeping your line manager informed of work in progress and inform your line manager immediately of any child protection matter, breach of confidence or complaint.

Person Specification

You must have the following vital skills:

  • Proven track record of administrative/office support experience
  • Proven track record of customer service skills and experience
  • Sound working knowledge and experience of Microsoft Word, Excel and Powerpoint
  • Experience of working with databases (bespoke or other)
  • An excellent telephone manner
  • Strong attention to detail
  • Excellent time management and organisational skills
  • Personal integrity

It will be an advantage to have:

  • Ability to prioritize and multi-task in order to meet deadlines
  • Exceptional communication skills
  • Flexibility and ability to respond to changes quickly
  • The ability to trouble shoot and respond to calls of varying nature
