Please describe the state of art of your internal quality assurance (IQA) system and briefly explain, who is mainly in charge of coordinating QA matters in your institution (e.g. division of tasks between faculties and central administration),whether and where a QA unit exist (size and number of staff; full-time or part-time) and whether a QA policy exist at intuitional level.(If available, please attach an organisational chart which shows the QA governance structure.)

  1. Motivation

The SHARE institutional assessments pursue various goals, such as

  • To develop the capacity of participating HEIs in taking charge of their IQA systems and raise the awareness for QA at different levels of the institution (leadership, lecturers, administration students);
  • To benchmark internal QA mechanisms according to regional standards and use the results for the process of further developing the ASEAN Quality Assurance Framework (AQAF);
  • To share good practices in quality assurance and strengthen bi-regional exchange between the ASEAN and European region.

Please describe your motivation to participate in the SHARE institutional assessments, what you would like to gain from the exercise and in how far the assessment supports the strategy of your institution.

  1. Tasks and Responsibilities

By requesting to take part in the pilot review exercise, the university commits itself to

  • Appoint a coordinator of the assessment process who will serve as permanent contact person for the DAAD and the panel of assessors
  • Nominate two participants (one representing the university leadership and the other who coordinates the assessment) to attend the Preparatory Training in February/ Match in Southeast Asia (date and venue will be announced with the results of the selection)
  • Carry out the self-assessment and submit the self-assessment reportaccording to the requirements of the Guidelines (to be circulated prior to the Preparatory training)
  • Prepare the site-visits on site according to the requirements of the Guidelines, e.g. scheduling of the whole sitevisit programme, ensuring participation of university leadership and relevant higher educationstakeholder groups for the interviews, etc.
  • Offer logistical support for conducting the site visit, including accommodation, meals and local transportation for assessors during the two-day site visit, and provision a venue for the site visit and the related interview sessions
  • Factual checking of the draft assessment report
  • Providing feedback to the organisers of the institutional assessment by filling out an online survey after the assessment process

The results of the selection will be announced by the end of October. Afterwards a Memorandum of Understanding will be drafted and signed between SHARE and the participating university to agree on the specific roles and responsibilities of the parties involved in the pilot assessment exercise.
