Voluntary Marketing Assistant

The Traverse Theatre’s Marketing team is responsible for both marketing and fundraising. This department comprises:

·  Head of Sales and Marketing (responsible for coordinating these two key functions, and strategizing the output of the marketing department).

·  Marketing and Audience Development Manager (responsible for implementing the marketing strategy and overseeing all marketing activity);

·  Marketing and Campaigns Officer (responsible for market research, campaign scheduling, implementation and evaluation);

·  Press and Media Officer; (responsible for broadening the Traverse’s exposure across different media strands, in-house design and coordinating volunteers).

·  Voluntary Marketing Assistant - unpaid (supporting the work of the Department and undertaking development projects).

The mission of the Marketing Department is:

·  to engage, maintain, diversify and grow audiences, income and income sources for the Traverse Theatre

·  enhance the overall external profile of the Traverse in Scotland, throughout the UK and internationally.

The position would be suitable for somebody interested in a career in arts marketing and / or arts administration. They will be given the opportunity to gain insight into the day-to-day running of the Marketing Department of the Traverse Theatre, helping maintain the outward appearance of the theatre in terms of Front of House display. The volunteer will also provide support to the Marketing Officer and the Media Officer in support of their promotional and press activities. The volunteer will be involved in departmental / team meetings where possible.

The post would suit an enthusiastic, energetic and organised person who has a strong customer focus, a keen eye for detail and a good sense of visual presentation.

MAIN DUTIES OF THE POST

Support the implementation of the following key operational aspects of the Marketing Strategy.

1.  Design, display & print

Implement the display of posters in designated parts of the theatre, ensuring a tidy and professional finish. Ensure posters and leaflets are tidy, well-stocked and up-to-date on a regular basis, creating an impressive atmosphere in the theatre overall.

Keep up-to-date on the changeover of shows, replacing posters and leaflets accordingly.

Ensure flash quotes from reviews are displayed clearly, in the correct house style, on show material as appropriate.

Assign marketing materials as necessary to the Traverse archive.

2.  Press

Scan and file digital press cuttings of all Traverse Festival coverage. Select most appropriate coverage for all shows and display in press book and Front of House. Maintain the press cuttings archive, including compiling and maintaining the best press quotes for future use.

3.  Distribution

Check in posters/leaflets as they are delivered from printers and visiting companies and ensure they are stored properly and tidily.

Keep note of stocks of printed materials, in conjunction with Box Office.

Support the Marketing Officer by execution of bespoke distribution campaigns, whereby small amounts of print are delivered by hand to local establishments, building direct relationships with relevant organisations.

4.  Website and digital communications

Assist in updating the Traverse website and developing e-communications. Work closely with the Media Officer to support web developments.

Help to update social media sites such as Facebook and Twitter. Bring fresh ideas to the team to support its work.

5.  Administration

Assist in the maintenance of administrative systems for the Department including financial record-keeping, storage of printed material, archiving etc.

Answer departmental calls and deal with enquiries.

Collate any information packs as required.

Person Specification

Essential attributes

1.  Excellent organisational and administrative skills.

2.  Good verbal and written communications skills.

3.  Working knowledge of Microsoft Office.

4.  Keen eye for detail and a good sense of visual/textual style.

5.  Keen interest and working knowledge of social networks such as Facebook, Twitter and YouTube.

6.  Enthusiasm and motivation for a career in Communications in the arts and for the contemporary performing arts scene.

7.  Enthusiasm and motivation for both routine and unforeseen tasks.

Desirable attributes

1.  Experience of Promotional or PR work

2.  Voluntary or employment in a Press and Media environment

3.  Experience of maintaining Front of House display in a public-facing environment.

4.  Education or study in a visual subject.

5.  Experience of design packages such as Adobe Indesign may be useful.
