Graduate Assistant for the Offices of International Education and Graduate Admissions Position Description
GENERAL STATEMENT OF DUTIES: The Graduate Assistant for the Offices of International Education and Graduate Admissions is a paraprofessional position, reporting directly to the Staff Assistant for International Education and Graduate Counselor for Admissions. The primary role for this position is to fully communicate departmental programming, admission requirements, and information about the Office of International Education to the campus community and prospective student audience. Responsibilities include, but are not limited to:
GENERAL DUTIES & RESPONSIBILITIES:
· Create and disseminate marketing materials via web, print and social media
· Assist with departmental upkeep of web pages and social media forums
· Regular hours may frequently include evening or weekend hours, depending upon the schedule of recreational events
· Help to promote study abroad by learning about our programs and sharing this
information with students who come into the office
· Aid staff in following-up with study abroad and international students
· Help plan the Study Abroad Fair and Pre-departure orientation
· Help to facilitate the Host Family Program and events
· Assisting and supporting Admissions Office and Office of International Education staff in enrollment management for International Students
· Precisely learning the admission process to clearly understand all requirements and exceptions in regards to specific Undergraduate and Graduate programs including additional requirements for International Students
· Coordinating email communication with prospective international students and replying to any inquiries
· Learning the basics of Banner database (system) to update individual student’s files and search for already entered information
· Developing databases to monitor and manage individual student’s progress (status)
· Cooperating with Admissions Office staff and assisting the supervisor with any inquiries, especially during the time of application deadlines each semester
· Supporting the transition by creating a bridge between Admissions Office (AO) and Office of International Education (OIE) for accepted international students
· Supervising of work-study students in the OIE
· Updating databases and systems on the shared drive after receiving international student’s documentation after their acceptance
· Assisting OIE staff in the process of issuing I-20 and other immigration documents
· Managing the communication with accepted international students to provide them with information regarding International Orientation, welcome packets, and other inquiries
· Developing and updating database to monitor status of accepted students
· Updating office forms in regards to current semester
· Monitoring and improving established processes of enrollment management for international students
· Providing office coverage at the front desk and welcoming any walk-ins at the Office of International Education
· All other duties as assigned
QUALIFICATIONS: The qualified candidate must possess a Bachelor’s degree and be enrolled as a graduate student (not to be enrolled in more than 6 credit hours each semester without prior approval).
· The qualified candidate will have strong computer and social media skills. In addition, he/she will be a highly organized, detail oriented, creative and a self-motivating team player.
· Understanding of admission and immigration process for international students is preferred
· Preference will be given to candidates with previous experience with MS Office and organizing databases.
· Experience with multitasking and streamlining processes is preferred.
PROCESS: We encourage seriously interested candidates to apply for graduate admission as early as possible.
Compensation:
· Graduate assistants will be paid approximately $8,800.00 for the academic year beginning in August 2017 and ending June 30, 2018 (if graduating in May, last day would be before commencement.)
· Assistants will work for 20 hours a week for 40 weeks in order to earn the full stipend.
· The appointment and award includes a tuition and fees waiver for 15 semester hours of graduate course work for the academic year of the appointment.
· Position is contingent of applicant being accepted into the University’s Graduate Program.
