Administrator for SEN and Safeguarding Support

Job Description

Statement of Purpose

Under the direction of the SEN Progress Leader, to co-ordinate the support provision for pupils with special needs, with particular reference to administrative and financial functions. With working the DSL (Designated Safeguarding Lead) to maintain and track records relating to Safeguarding in school.

Provide reports and information to the Business Manager as required to co-ordinate the finance associated with SEN.

Support to Organisational Management

  • To support the application process for Education, Health and Care Plans (E.C.H.P.s) and ensure that documentation is stored securely centrally, with a copy on the student’s individual file.
  • Under the direction of the SEN Progress Leader, maintain and update records of Passports for Learning for students with special needs.
  • In co-ordination with the SEN Progress Leader and school medical staff, contribute necessary information to student care plans for those with medical needs.
  • Implement SEN information for students and staff into the school management information system ( SIMS)
  • Ensuring the regular updating and availability of the special needs register information to staff
  • Maintain archive records for SEN.
  • Notify the Leadership Secretary regarding the absence of SEN staff and arrange their cover.
  • Where appropriate, liaise with our DSL person with regard to SEN students and school wide safeguarding matters.
  • Liaise with the Local Authority and other agencies and amend/update information on students with SEN for their records.

Support to SEN Progress Leader

  • Provide administrative and clerical support as required to the SEN Progress Leader,
  • Monitor the deployment of resources for those learners for whom funding has been sought.
  • Liaise with other schools and other agencies to ensure continuity of funding support when transferring students with SEN.
  • Store data/records to assist with the monitoring of SEN funding.
  • Monitor the SEN resources budget, reporting any problems to the Business Manager
  • As directed by the SEN Progress Leader, order departmental supplies within the departmental budget.
  • Maintain the asset register for the department.

Support to DSL

  • Provide administrative and clerical support as required by the DSL.
  • Monitor and update safeguarding documentation in accordance with legislative requirements.
  • Store data/records to assist with the monitoring of Safeguarding in school.
  • As directed by the DSL, provide Safeguarding support in accordance with the needs of the stakeholders in school.

Support to School

  • Contribute to the Catholic ethos/work/aims of the school.
  • Promote and safeguard the welfare of children and young people.
  • Be aware of and comply with policies and procedures relating to child protection, health, safety and security, confidentiality and data protection, reporting all concerns to the appropriate person.
  • Be aware of, support and ensure equal opportunities for all.
  • Appreciate and support the role of other professionals.
  • Attend and participate in relevant meetings as required.
  • Participate in training and other learning activities and performance development as required.
  • Assist with pupil needs as appropriate during the school day.

Person Specification

Essential Criteria

  • Support and promote the Catholic ethos and contribute to the overall aims of the school

Experience

  • At least three years’ experience of financial experience relating to SEN funding, applying for E.C.H.P.s and mapping provision.
  • Experience of managing a budget.
  • Experience of managing a team.

Qualifications/Training

  • A minimum of Grade C G.C.S.E. (or equivalents) in English and Maths.
  • Training in the relevant strategies and legislations associated with SEN and Safeguarding.

Knowledge/Skills

  • Understanding of relevant legislation as it affects children and the education sector.
  • Ability to manage own workload and work on own initiative.
  • Ability to manage a team.
  • Excellent interpersonal skills.
  • Good IT and record keeping, recording and reporting skills.
  • Ability to communicate effectively and accurately both orally and in writing.
  • Excellent organising, planning and prioritising skills.
  • Ability to liaise with parents and other stakeholders to achieve positive outcomes.
