FINANCE ASSISTANT ROLE PROFILE

Job title / Finance Assistant
Salary Range / Equivalent to Bucks Pay Range 2
Hours/Weeks / 35 hours per week / 41 weeks (including the last week in August)
Responsible to / Finance Director

Job purpose

To undertake the administration of financial aspects of school educational visits together with processing orders and raising invoices.

Main duties and responsibilities

1.  Processing requisitions and orders on PS Financials

2.  Liaison with school suppliers

3.  Produce and distribute monthly monitoring reports to budget holders

4.  Review supplier statements received and request copy invoices as required

5.  Invoicing third party hirers in liaison with the lettings administrator and invoicing other parties as required

6.  Assist in the management of the school budget as required, including month and year-end administration duties

7.  Setting up trips on ParentPay and PFM3 using information provided by the trip co-ordinator

8.  Providing information to trip co-ordinators and answering queries from parents and pupils

9.  Maintaining trips on ParentPay, PFM3 and in the trip file, processing trip admin and insurance transfers on a timely basis and closing trips when complete.

10. Performing regular bank reconciliations on the trip and School Support Fund accounts

11. Processing BACS and cheque payments for expenses and refunds as required

12. Processing cash and cheque payments received

13. To perform daily downloads from ParentPay into PFM3 and weekly reconciliation of income received from ParentPay

14. To perform a daily review of the ParentPay and Finance email accounts, sharing or dealing with them as appropriate

15. To monitor and chase ParentPay catering debts on a weekly basis.

16. To administer and process any charity / mufti collections

17. To collect post from the School Office

18. To send flowers to staff from wellbeing budget as directed by the Headmaster’s PA

19. To send out ParentPay activation letters and ensure completed biometric approval forms are received for all new pupils.

20. To assist with other relevant duties in the Finance Office as instructed by the Finance Director

General duties

21. To take responsibility for health and safety in the workplace by undertaking risk analyses for the immediate work area and following guidance in the AGS Health and Safety Procedures Manual.

22. To supervise students as directed on occasion

23. To carry out any other duties that may reasonably be required by the Headmaster or the Finance Director
