Job Title:Office Manager & PA to CEO

Reporting to:Chief Executive

Role:Permanent, part time (2 days a week) – job share

Salary:£28,627(pro rata) plus non-contributory pension

contribution (currently 10%)

Holidays:13 days including Bank Holidays

Background

Fight for Sight is the UK’s leading charity funding pioneering research to prevent sight loss and treat eye disease. We are a busy office based in the City of London that focuses on fundraising, research administration and finance. We are currently funding research projects at 35 different universities and hospitals across the UK. It is an exciting time in eye research with significant progress being made in the attempt to prevent and treat a wide range of different eye diseases and conditions. But with 1.8 million people in the UK affected with some form of sight loss there is still much more that needs to be done.

Our current Office Managerand PA to the Chief Executive has been in post nearly 8 years and now wishes to work 3 days a week. As such we are looking to recruit the right person to work alongside her for 2 days a week.

Purpose of the job:

To act as a part time Office Manager and PA to the Chief Executive of Fight for Sight dealing with the day to day running of the charity’s office.

Role and Responsibilities:

Office Manager

1Taking responsibility for ensuring the efficient running of the office

2Managing and liaising with suppliers including those providing IT and telephone services

3Managing budgets for office supplies including stationery

4Reporting to the Chief Executive on Health and Safety matters within the office

5Liaising with the landlord of the office regarding all lease and building issues (including fire evacuation)

6Being responsible for ordering office supplies

Personal Assistant

1Providing administrative support to the Chief Executive including diary management, travel arrangements, expense claims and meeting arrangements

2Drafting correspondence and producing letters, reports and presentations

3Ensuring that filing is kept up to date

4Liaising with supporters and other stakeholders of the charity on the telephone and by email

5Preparing in-house meetings including collating papers and arranging refreshments

Other

1Answering the telephone and acting as the first point of contact with the charity

2Being prepared to help out at a limited number of fundraising events on behalf of the charity

Person specification:

Minimum two years Office Manager/PA experience

Excellent diary management skills

IT literate with experience of liaising with IT suppliers

Experience of working with Word, Excel and other Microsoft Office programs

Experience of co-ordinating office systems and procedures

Excellent organisational skills and the ability to focus and prioritise with good attention to detail

Good interpersonal skills to ensure effective communications both internally and externally

Excellent telephone manner

Ability to use initiative in proactively seeking solutions to problems arising from day to day work

Good team player with a flexible approach to work
