FAQ – Aesop Sub System
What is Aesop?
Aesop is an automated substitute placement and absence management system serving more than 4,000 school districts nationwide. Many Minnesota school districts use Aesop.
Why are we switching from SmartFind Express to Aesop?
This move to Aesop has been in the planning stages for over a year and a half. With SmartFind Express, we had reached our capacity for adding employee groups and phone lines. Aesop is hosted entirely “in the cloud” so there is no need for hardware, software or phone lines. This will help us to decrease “fill times” and add district employee groups that want to use an automated sub system. Aesop also integrates with myLeave, which will mean that you can record your absence and request a sub in one easy process, eliminating the need for dual data entry. Aesop has a huge library of pre-built reports and also allows us to create our own customizable reports.
What is the go-live date?
The go-live date is October 6, 2014. We realize that there is no easy time to make the switch. Based on when we switched to SmartFind, we found that October gave staff a chance to get the school year started and allowed us to make the change while our sub requests were relatively low.
What if I have already entered absences for future dates?
Any absences already entered in SmartFind for dates after October 6 will be transferred to the new system. Once the system is live, you will be able to see them as scheduled absences if you login to your personal AESOP account.
Will I need or receive any training?
Information on how to login and training details will be coming soon. The system is so easy to use that minimal training is needed. Since we already log our time through myLeave, the seamless integration between TIES and Aesop will allow you to log into myLeave, record your absence and indicate if a sub is needed or not. You can also login directly to Aesop to change your PIN or set your “favorite five” (preferred subs).
