Board of Directors Meeting

MEMBERS PRESENT: Mary Cheles, John Columbus, Tracy Mann and John Wilson. Also present: Penny Gatsis (Property Manager).

HOMEOWNERS PRESENT: Yes MEETING CALLED TO ORDER: 7:00 pm

HOMEOWNER PARTICIPATION: A homeowner was present to discuss a concern regarding a neighbor leaving food and bird seed spread throughout the yard. This is attracting all sorts of wild life. PM will send letter to homeowner asking to feed the birds via bird feeders in one isolated area of the back yard and not leave other food throughout the yard.

A homeowner was present to discuss the exception the Board granted for a vehicle to be parked in the driveway. The homeowner wanted to know what time frame this exception would be allowed. The Board will reevaluate the situation in May at the time of the Spring walk through.

APPROVAL OF PREVIOUS MONTH’S MINUTES: January’s minutes were approved.

AC REPORT:

·  6105 Golfview – Replace siding and roof – Approved

·  6263 Eagle Ridge – Replace shutters – Approved

·  6253 Formoor – Replace garage doors – Approved via email

TREASURER’S REPORT: January’s financial reports were reviewed.

NEW BUSINESS:

·  2017 Audit – PM provided bids from DeRaimo, Abendroth & Associates and Brachman. After review the Board decided to remain with DeRaimo. PM will sign contract and forward.

·  Annual Flowers and Mulch – PM provided bid from Bright View. Board approved both flowers and mulch. PM will discuss possible perennials that bloom a good part of the summer with the Bright View supervisor as an option for next Spring.

·  Insurance Renewal – PM provided bid from RJ Galla and noted the discount applied for 2017. PM will provide bid from Biglow when received and submit to the Board for review. Renewal is up April 1, 2017.

·  Comcast – The clubhouse has experienced numerous internet issues the last few weeks and new cable was installed outside of the building. The line will be buried as weather permits.

·  CH Rental while balance on the account – Board does not allow rentals with a balance on account. Board discussed policy on sending statements quarterly to those that have a balance and PM will begin this process for the 2nd quarter. PM will contact the homeowner to let her know that fees will not be entirely waived, but the Board would be willing to allow rental provided 50% of the balance was paid prior to rental.

PENDING BUSINESS:

·  Clubhouse Interior Furniture – Furniture is budgeted to be replaced in 2018. This will be addressed at next month’s meeting when the Treasurer is present.
