One of the School of Medicine’s strategic aims is to provide the most efficient, effective and responsive educational management and support mechanisms (academic and pastoral) in all aspects of the student experience. A key source of specialist advice for students and staff, you will be responsible for facilitating the further development and provision of consistent Student Support services within the School; sharing good practice and encouraging knowledge exchange between colleagues to facilitate continuous enhancement of the Student Support systems and Personal Tutor system.

A key member of the LIME Student Support Team in the School’s Student Education function, you will be expected to provide guidance and advice to students and staff, to work decisively using your initiative to appropriately judge, manage and refer as appropriate a wide range of student and programme support related issues. An experienced independent worker, you have the ability to work under pressure, managing multiple deadlines whilst consistently providing high levels of customer service. You will also provide dedicated high quality administrative programme support for the Year 3 SAFER MEDIC component of the MBChB (Bachelor of Medicine and Bachelor of Surgery) programme.

You will have excellent knowledge and expertise to effectively support student practices and processes. You will work flexibly with members of staff within the Student Education Service and where necessary support other student support activities as workloads fluctuate. You will share good practice and encourage knowledge exchange between colleagues to continuously improve student support practices.

The post will require occasional working outside of office hours (evenings).

MAIN DUTIES AND RESPONSIBILITIES

The newly established Student Education Service will provide consistent, high quality support for all student cohorts. The Service is underpinned by principles of quality, equity, consistency and opportunity; delivering an exceptional student experience for all. The Service will encourage staff to become more flexible; providing opportunities to work in a variety of roles across the Service with professional training and development.

MBChB Disability and Student Support

·  To provide front line pastoral support and guidance to students suffering distress as a result of personal and/or academic problems affecting their studies; advising on and signposting to sources of assistance, and exercising judgement in terms of referring to appropriate academic colleagues.

·  To act as the Disability Officer for the Student Education Team and for students registered on the MBChB programme, within the context of assessments, clinical training and placements; responsible for the receipt of and resulting action based on Assessment of Needs reports from Equality Services.

·  To communicate placement requirements by liaising with the Programme team and University Disability Services, to discuss implementation of reasonable adjustments in accordance with the Equality Act 2010.

·  To liaise with the Director of Student Progress and the Progress Committee with regard to student support issues and practices.

·  To provide high level administrative support for the effective and efficient co-ordination of the MBChB Programme’s Student Support infrastructure.

·  To provide a specialist reference point for School staff, to advise on student support matters relating to academic and pastoral matters, including policy issues.

·  To be responsible for the co-ordination of the Personal Tutor Scheme; tutor recruitment, allocation of students, timetabling of termly 1:1 meetings, attendance monitoring, utilising and managing systems such as the progress file, data base systems and the VLE.

·  To organise Personal Tutor induction, training and development events, also to contribute to the ongoing review and evaluation of the Personal Tutor Scheme.

·  To act as the key liaison regarding the Personal Tutor scheme, contributing to the ongoing development and promotion of the scheme to tutors and students.

·  To work collaboratively with colleagues across the Faculty and central University services (Student Advice Centre, Equality Services, International Office), to maintain and further develop links between the University and NHS stakeholders with respect to ongoing University initiatives (e.g LeedsforLife).

·  To provide high level administrative support to the School of Medicine Student Support Committee; including the production of agendas, minutes and appropriate dissemination of the associated documentation.

·  To make recommendations to the Director of Student Support on how to adapt and develop standardised student support practices and processes, such as student referrals, placement requirements, personal tutoring based on broader initiatives.

·  To provide dedicated administrative support to the School’s Director of Student Support and two Associate Directors of Student Support (Years 3&4) of the MBChB programme.

·  To organise Stakeholder events and actively manage the recruitment of Personal Tutors through the University and the NHS. Occasionally this may mean working outside of standard working hours.

·  To organise and maintain the payment system for external tutors through liaison with HR and Payroll; maintaining budget overview and production of proformas for approval, providing recruitment information and time commitments for budgetary requirements, Primary Care GP payments and external tutor payments.

·  To be responsible for the organisation of the annual national Student Support Conference; recruitment of local and national speakers, marketing at a national level, management of delegate list and provision of delegate packs, management of the conference budget, processing payments, workshop facilitation, booking of venues and catering.

·  Management and maintenance of the Student Support budget.

MBChB Programme Support (MBChB and Year 3 SAFER MEDIC)

·  To provide administrative support for the Year 3 SAFER MEDIC Spiral Strands of the MBChB programme and associated Managers; including responsibility for proactive tutor recruitment, preparation of timetables, production of a range of student and tutor documentation, booking teaching venues, and collation and analysis of student feedback, attendance monitoring, utilising the Progress File and the online VLE resources.

·  To support the recruitment, training & retention of 40 SAFER MEDIC clinical tutors (linked to the year 3 Personal Tutor role). To produce literature, maintaining liaison with the University and NHS teaching staff who contribute to the delivery of the SAFER MEDIC spiral & demonstrate the use of the technology to tutors and external staff.

·  To recruit and organise the induction of new SAFER MEDIC Tutors by organising contracts, payment of fees, explaining administrative procedures, providing information about the University, providing ID badges, library cards and computer access and dealing with Human Resources paperwork and queries.

·  To co-ordinate the Year 3 student allocation process for the group sessions and ensure that teachers and facilitators know what is required of them, through communication and preparation of materials for sessions.

·  To support tracking of Year 3 student assessment and progression issues and arrange 1-1 meetings between Year 3 students and the ICU Manager and tutors as required, and report to the relevant Undergraduate Examination Board.

·  To provide support for the School’s Quality Management processes through the collation of Year 3 SAFER MEDIC student evaluation and assessment data, and the production of reports for submission and consideration at the MBChB Sub Committee.

·  To support formative/summative assessments through liaison with the Medical Teaching Centre, teaching staff, external examiners and ensuring results are available for processing by the School’s Undergraduate Examination Board.

·  To be responsible for the procurement of goods and services in support of a range of LIME’s Student Education activities.

·  Any other duties as reasonably requested and within the scope and grading of the role.

You will be responsible to the Student Education Services Manager in the Leeds Institute of Medical Education, through whom he/she is accountable to the Director of Institute, the Dean of the Medical School and ultimately the Dean of the Faculty.

Leeds Institute of Health Sciences (LIHS)

LIHS delivers problem-driven research that supports decisions about the content or delivery of healthcare. Our interdisciplinary approach incorporates expertise in applied health research designs, health implementation sciences, social sciences, health economics, informatics and statistics, as well as skills in communicating with basic scientists, policy makers, healthcare providers, public and patients. We conduct research at the individual, population and organisational level.
