Salary:£8.40an hour

Working hours:Casual worker to be available for holiday cover, sickness cover, or to cover extra events at the centre. The role is on a zero hour contract.Note; the shift patterns will entail lone working.

The St Pauls Learning Centre is located in the heart of the St Pauls area of Bristol and contains office and meeting space as well as a variety of facilities, available to the local community.

The Post

In this role you will be responsible for helping the centre to function effectively, ensuring rooms are set up appropriately and in good time, and that users’ technical needs are met.You will be expected to contribute to the day to day running of the centre as a whole. You will join a team who are collectively responsible for providing professional, safe and appropriate space and facilities for the centre users, however, you will often have to work alone to ensure all requirements of the Centre are met.

The main duties will include:

  • Setting up conference, training and meeting rooms
  • Providing Audio Visual and Information Technology support for centre users
  • Covering the reception desk and being the first point of contact for visitors and building users
  • Taking deliveries of Royal Mail post, sorting and distributing to the tenant organisations
  • Acting as point of contact for tenants with queries / problems to report, establishing and maintaining excellent communication with tenants and centre users to ensure their satisfaction with the building and services, directing them to the appropriate tenant organisation or meeting room
  • Tidying communal areas and arranging furniture and occasional cleaning duties as appropriate - when cleaners are absent
  • Making sure waste and recycling are managed well within the centre
  • Carrying out re-decoration and small repairs that do not require specialist training both for the communal areas and for individual tenants
  • Checking on stocks of cleaning materials, light bulbs, recycling supplies etc., preparing orders to keep stock at a good level and keeping accurate records
  • Ensure that correct and regular meter readings are taken
  • Assist the Centre Manager in ensuring the building is safe, pleasant and that the services are functioning,
  • Carrying out porter duties
  • Testing fire alarms and evacuation drills
  • Compliance with Health and Safety legislation
  • COSHH awareness (regulations regarding hazardous substances)
  • Answering phones and directing calls to other Ethical Property staff or tenants
  • Ensuring effective handover between shifts
  • Ensuring communications between other Facilities Support Assistant and to equally split tasks
  • Ensure notice boards are kept up to date and relevant
  • Using the computerised room booking system to check availability and associated paperwork, and ensuring all bookings are set up and the appropriate facilities are available for each meeting
  • Ensure contact information is kept up to date for each organisation, including tenant, building users, first aiders, fire marshal’s and liaise with Assistant Property Manager to ensure all updated
  • Ensure that photocopier is in good working order and stocked with paper and arrange any maintenance visits
  • Assist with administration duties as and when required

Other responsibilities include:

  • Making suggestions on how to improve management and delivery of maintenance and services to tenants, how to achieve the company's social and environmental objectives, etc.
  • Working to improve the company's social and environmental objectives
  • Attending company-wide events such as training, the employee conference, etc.
  • Other duties as required, in line with the role

Person Specification

The person we are looking for will need:

  • Customer care skills with a commitment to provide a good service to our tenants and building users
  • Good IT skills, particularly Microsoft Office software
  • Previous experience in a similar post
  • Practical DIY skills, e.g. painting, putting up shelves, willing to do ‘a bit of everything’
  • Organisational skills and the ability to prioritise his/her work, multi-task and remain flexible
  • To be trustworthy, personable and reliable
  • The ability to act quickly and effectively using their own initiative
  • To be a team-player and a good communicator
  • To maintain a professional standard of presentation and communication with colleagues and tenants at all times
  • Health and Safety awareness and knowledge
  • Have some knowledge and interest in social and environmental issues, particularly recycling

Contractual Details

We require a casual worker to be available for holiday cover, sickness cover, or to cover extra events at the centre, working occasional hours as required. Working hours will vary according to the workload of the Company’s business.
