Facilities Manager

Responsible to:Business Manager / Headteacher

Hours per week:37 (not including daily lunch break of 30 minutes)

Weeks per year:52 (all year round)

Main Purpose of Job:

Responsible for the planning, development and delivery of all aspects of premises maintenance and management and health & Safety within the school.

General Responsibilities:

  • To be committed to safeguarding and promoting the welfare of children and young people within the school.
  • To act in a loyal and professional manner around school and to contribute to the overall ethos/work/aims of the school.
  • To be aware of and comply with policies and procedures relating to child protection, health, safety and security, confidentiality and data protection, reporting all concerns to an appropriate person.

  • To attend and support appropriate meetings/courses and to undertake any training as deemed necessary, in order to keep abreast of development.

Specific Duties and Responsibilities:

  • To report to the School Business Manager/Headteacher
  • Responsible for the planning, development and delivery of all aspects of premises and Health & safety within the school, line managing key staff to ensure they carry out their tasks in an efficient and effective manner and to arrange adequate cover in the event of their absence.
  • To manage, monitor and control all budgets delegated to postholder.
  • To be responsible for Health and Safety and school premises.
  • To line manage caretaking and cleaning staff.

Premises

  • To manage all aspects of the maintenance, caretaking and cleaning activities of the school site to ensure the safety, security and sound condition of, and ease of movement around, the buildings, facilities and grounds and that the needs of the school are met at all times;
  • To develop, implement and monitor appropriate processes relevant to the school premises, health and safety and lettings of the school premises compliant with school policies and other documents of governance;
  • To ensure that buildings and site are secure, including during out of school hours and taking remedial action if required.
  • Act as a designated key holder, providing out of hours and emergency access to the school site
  • To prepare appropriate reports for Senior Leaders within the school, Multi Academy Trust & Governors;
  • To undertake direct line management for a team of caretakers and cleaning staff to include recruitment, leading, motivating, managing and appraising direct reports, ensuring they possess the knowledge and skills necessary to carry out their tasks in an efficient and effective manner;
  • To ensure that the school site, buildings, facilities and services are fit for purpose, kept in a very good state of repair and decorative order and are kept clean, tidy and free from litter and other rubbish at all times;
  • Co-ordinate and undertake improvement and maintenance projects to improve the learning environment within the school as directed by the line manager / Headteacher.
  • Negotiate, manage and monitor third party contracts and the execution of works and/or the procurement of external goods and services where necessary, ensuring the principles of best value are achieved and school procurement policies are followed;
  • Manage contractors working on site to ensure that Health and Safety regulations are followed to ensure the safety of others.
  • To manage, monitor and control the premises budget.
  • To ensure that the premises are properly prepared for all events, functions, lettings and other occasions within the school calendar;
  • To complete administration tasks such as authorisation of time sheets, maintenance of sickness, holiday and other absence reports in respect of direct reports;
  • Manage and undertake porter services around the school, including the prompt distribution of goods to departments ensuring a complete audit trail exists;
  • To manage the maintenance of the school minibus, ensuring that regular servicing of all vehicles is carried out, that all vehicles are taxed and in possession of a valid MOT and that all vehicles are kept clean and in a safe condition.

Health & Safety

  • To manage Health and Safety within the school and ensure effective training, reporting, monitoring and risk management processes are in place and adhered to;
  • To develop, manage, implement and monitor appropriate processes relevant to Health & Safety within the school compliant with school policies and other governance documents;
  • Undertake regular health & safety checks of buildings, grounds, fixtures and fittings and take appropriate action where hazards and deficiencies are identified and liaise with colleagues as necessary.
  • To prepare appropriate reports for Senior Leaders within the school, Multi academy Trust & Governors;
  • To act as “Responsible Officer” in respect of fire safety, making arrangements for an annual Fire Risk Assessment of the site and premises to be undertaken;
  • To ensure that all of the school’s statutory testing obligations and reporting are complied with, any work identified as a result of that testing is carried out and testing best practice is adopted;
  • To manage all aspects of first aid provision and accident reporting within the school;
  • To undertake first aid duties as required. This will require a first aid at work qualification which the incumbent must hold or work towards on commencement of employment.

Other

The Facilities Manager may be required to undertake any other reasonable tasks as required by the Headteacher.

Awareness and understanding of Health and Safety regulations including COSHH, Legionella prevention, fire safety, manual handling, and Working at Heights
Knowledge of Safeguarding children and young people and Child Protection

Previous Experience / A minimum of 5 years recent experience in Site management.
An extensive background in the building trade which includes a wide range of disciplines eg carpentry, plumbing, electrics, plastering
Competent in use of Word, PowerPoint, Excel, Outlook /  / 

Qualification/ Training / Hold a Health and Safety qualification, such as IOSH,NEBOSH to at least level 3
First Aid qualification (or willingness to work towards qualification)
Willingness to undertake further training as required. / 
