Expense Reimbursement Direct Deposit (ERDD)

What is ERDD?

ERDD is an expense claim reimbursement payment option where the reimbursement is deposited directly to the claimant’s bank account instead of the printing of a cheque. Please note that Accountable Advances or Settlements cannot be directly deposited.

Is the ERDD option available to everyone?

Only staff with active & appointed status in HRIS may select the Direct Deposit payment option when submitting each expense reimbursement claim.

Is this service mandatory?

You must choose each time you submit a claim. Leaving the box empty at the top right-hand of the expense reimbursement form notifies Financial Services that you prefer a cheque.

How do I communicate that I would like to have an expense reimbursement processed through the ERDD system?

You must supply your personnel number and indicate your ERDD choice on the form each time you submit a claim for an expense reimbursement (please see electronic form).

Do I have to supply my banking information?

Banking information is captured by the Financial Information System (FIS) from your payroll information in the Human Resource Information System (HRIS). Only the bank account already selected for payroll direct deposits can be used for ERDD.

How do I verify my banking records in HRIS?

Is there a ceiling to the amount that can be deposited by Direct Deposit?

Claims over $10,000 will be automatically parked until a copy of the claim and back-up documentation is submitted by UTSC Financial Services to St.George Financial Services for verification and release of payment.

Can payments in U.S. dollars or foreign currency be made by Direct Deposit?

No, there is as yet no method for the U of T system to directly deposit in USD or foreign currencies.

How do I know that a deposit has been made to my bank account?

At the time of the deposit into your bank account an e-mail notification will be sent out to you.

How do ERDD and payment-by-check compare as to timing of payment?

·  Direct deposits take place every Tuesday and Thursday mornings at 10:00 a.m.

·  Expense reimbursement cheques are printed daily and then entered into the campus mail system.
